Title: Director, Operations Location: Oak Brook, IL FLSA: Exempt Union: N/A Director, Pension Operations - Taft Hartley Pension Funds Oak Brook, IL - In PersonZenith American Solutions is currently seeking a Director of Operations to oversee the day-to-day pension administration operations for one of its biggest clients. As an employee of Zenith, the Director of Operations reports directly to the Executive Director and is located in Zenith's Oak Brook, IL office. This position requires the Director of Operations to be in the Oak Brook, IL office; it is not a remote position. The Director of Operations is dedicated to overseeing the operations and administration of the UFCW National Pension Fund, the UFCW Industry Variable Annuity Pension Fund and the Albertsons Variable Annuity Pension Fund (collectively referred to as the "Funds"). Collectively, the Funds provide pension benefits to over 113,000 active participants and 72,000 retired pensioners and beneficiaries from 60 local unions across the country representing over 300 contributing employers.The Director of Operations will assume overall responsibility for managing the day-to-day operations of the Funds, including the managers and staff that support the administration of the Funds, in accordance with the respective Trust Agreements and Plan Documents adopted by the Trustees. This includes developing and monitoring policies, procedures and performance standards to ensure compliance with all relevant local, state and federal statutes, regulations and requirements (including ERISA, DOL and IRC) and client service level agreements. The Director of Operations will set goals and performance standards for, train, direct, and motivate the staff dedicated to the Funds' account, and interact collaboratively with the Executive Director, department managers, participants, employers, professional advisors and colleagues at all levels both inside and outside the organization. The Funds' staff is collectively bargained.Other key responsibilities of the Executive Director include (but are not limited to): Provide day-to-day oversight and management of all administrative areas/departments for the Funds. Maintain a thorough and detailed understanding of all plan provision and requirements for all Funds. Conduct regular meetings with managers and staff to keep apprised of day-to-day operational and staff issues and proactively work with the Executive Director to address operational issues. Participate actively with the Executive Director in business planning processes, and assist with implementing short- and long-term operational goals and objectives of the Funds. Ensure appropriate staffing levels are maintained and utilized efficiently and effectively to accomplish the short- and long-term goals and objectives of the Funds. Regularly monitor established policies, procedures, systems and performance standards for the Funds to ensure efficient and effective operations and prompt, accurate service to members and Employers. Measure and monitor key performance indicators (KPIs) and performance standards related to staff performance, turnaround times and accuracy in an effort to maintain and continuously improve the service levels and turnaround times. Address performance issues as needed. Routinely monitor and measure established client service level agreements/performance guarantees and report results to Executive Director. Review systems, processes, policies, procedures and forms/documents for the Funds and make recommendations to the Executive Director regarding opportunities for process improvements. Work with department managers to oversee quality and quantity of work produced by staff and ensure accuracy and compliance with regulatory requirements and plan guidelines are consistently met. Mentor and develop department managers and collectively bargained staff through performance management, goal setting, training, and effective employee relations to ensure superior service is consistently provided. Work with the Training department to ensure the development and implementation of training programs for managers and staff to maintain current knowledge of the Funds, required skills and ensure professional growth. RequirementsThe ideal candidate will meet the following requirements: Work Experience: Minimum of ten (10) years of experience in benefits administration/ operations, including significant experience with defined benefit retirement plan administration, or relevant related experience is required. Minimum of five (5) years of senior-level management experience, including experience managing collectively bargained staff. Educational Background: Bachelor's degree required. Advanced degree or certifications (e.g., CEBS) preferred. Special Skills or Credentials: A professional with demonstrated leadership skills, proven "hands-on" managerial style, excellent judgment and strong work ethic. Strong decision-making and organizational skills with the ability to optimize the use of all available resources and deliver on multiple priorities. Strong project management skills, including the ability to multi-task and prioritize effectively in order to meet deadlines. Excellent interpersonal and communication skills, including the ability to interact with staff at all levels of the organization as well as outside professionals and service providers. Detail oriented with strong analytical skills, including ability to interpret financial and operating information. Highly organized with the ability to motivate others to be organized. Flexible, team player that can lead effectively as well as provide support to others in leadership roles. Innovative and creative thinker, including the ability to identify tasks that may be automated and implement necessary changes. Ability to hire, develop and direct managers and support staff in the areas of technical operations and pension administration. Experience in Taft-Hartley or collective bargaining environment is required. Appreciation for regulatory and political environment.
