We are seeking a friendly and professional HR Support Office Coordinator to join our team. As an HR Support Office Coordinator, you will work closely with the HR team and be the first point of engagement with team members and visitors alike, creating a warm, supportive, and service-oriented atmosphere. You will be responsible for portraying a positive company image and engaging in professional and friendly communications by welcoming employees and announcing applicants, and visitors. Additionally, you will be responsible for the following duties: Essential Duties and Responsibilities The essential functions include, but are not limited to, the following: Support the HR team by assisting with onboarding and off-boarding tasks. Order and stock office supplies and other common-use items for the location or common areas, such as café supplies, equipment toner, printer paper, shipping supplies etc. Answering phones in a friendly, professional manner and directing inquiries. Responsible for responding promptly with accurate and thorough information according to specific requests from residents, employees, trade partners, and visitors. Continually maintains a neat appearance of reception/lobby area, conference rooms, café, and other common areas. Receives and signs mail and packages delivered to the office and distributed appropriately. Requests building and housekeeping services as needed. Periodically inspects common area equipment to ensure good operating conditions. Arranges equipment service as needed. Performs general administrative duties associated with distributing packages and mail as required. Supports with meeting and events tasks as assigned. May assist with scheduling, and coordinating the setup of conference and training room, ensuring equipment is in good operating condition for meetings/training, and coordinating catering. Assist with HR document management, including scanning and filing employee paperwork. Respond to inquiries (employees, residents, trade partners)in a timely and professional manner. Support employee engagement initiatives, such as coordinating employee events. Maintain accurate employee records in our HR system. Performing other duties as assigned Minimum Qualifications (Knowledge, Skills, and Abilities) Prior customer service experience is required. Warm and engaging demeanor and has the ability to assess circumstances, empathize and offer help. Utilizes a high level of attention to detail as well as strong interpersonal skills. Has a positive attitude and a strong sense of urgency in resolving any issues that may arise. Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills. Good organizational and strong problem-solving skills. Highly adaptable and flexible. Ability to work independently with little supervision. Working knowledge of Word, Excel, PowerPoint, Outlook Why Join Stoa Group?
