Superior Court of California, County of Imperial Invites applications for:CSA Trainee - Winterhaven, CAExamples of Essential Duties The following statements are intended to describe the general nature and level of work performed by individuals assigned to this classification. This is not intended to be an exhaustive list of all responsibilities, duties and skills required.1. Performs telephone and public counter duties; answers routine questions from the public and refers customers to appropriate court staff; screens telephone calls and takes messages; responds to questions regarding court procedures and rules and explains legal filing processes, calendaring procedures, fees, fines and other processes and requirements. 2. Performs data entry and verifies the accuracy of input data; accesses computerized case management systems and databases to retrieve information; updates case records in computerized case management systems by entering petitions, citations, orders, warrants, judgments, dismissals and payments. 3. Receives payment of traffic citations by mail and at a public counter; processes extensions, continuances and traffic school requests; reviews citations to determine eligibility for traffic school; sets bail amounts based on bail schedule; generates and mails courtesy notices to defendants; provides information to customers on traffic schools; enters payments and citations in case management system; issues extensions; reviews DMV reports for errors and makes corrections as appropriate; requests entity deletions and renaming of cases; schedules trials. 4. Rings up payment transactions and accepts cash or credit card payment for copies, fees, fines, bail, court costs, citations and similar purposes; makes change; prepares and issues receipts; posts payments in computer system; transfers bail monies from trust account to general account; balances and summarizes transactions; closes out cash registers and counts and verifies daily cash collections; prepares and transmits daily deposits. 5. Receives, file-stamps, reviews and processes a wide variety of legal documents for assigned judicial departments, including criminal complaints, motions, notices, warrants, citations, search warrants, trial in absentia documents, OR's, wire taps, criminal background checks, proof of enrollments, bail bonds, cash bails, bail and fee exonerations and continuances, releases and writs of habeas corpus; follows established procedures to review documents for completeness and compliance with procedural requirements and rejects incomplete docu­ments; sends documents to specific desks for review and further action; closes cases as appropriate. 6. Pulls court records and documents as requested; certifies and exemplifies copies of requested records; retrieves files and assembles documents for use by courtroom staff; accesses court case management system to retrieve information. 7. Sets up, word processes and updates calendars for assigned courts; pulls case files for upcoming calendars; prepares, prints and distributes final versions of daily calendars; receives and processes court filings; maintains accurate court records, files documents received, enters information in case management system and assembles documents and minute orders for entry in case management system; provides information regarding case status to attorneys, defendants and interested parties. 8. Sets up, organizes and maintains a variety of standard office records and files; indexes and cross-references documents and files; pulls, rotates and files documents and files; sends and retrieves files from archives; boxes files for storage; conducts file searches for missing files; scans indexes and verifies court documents. 9. Performs administrative and clerical duties in support division functions; opens, processes, sorts and distributes mail; prepares and distributes large mailings; sends and delivers faxes; photocopies files and documents; prepares supply orders and maintains office supply inventory; unpacks, distributes and stores forms and supplies. 10. Performs duties typically performed by other staff in higher or lower Court classes, on a regular or rotational basis, provided the performance of such duties requires less than 50 percent of the employee's overall work time. 11. Is assigned to perform a variety of duties for limited periods of time for the purpose of training and development, subject to limitations established in Court human resources policies, guide­lines and labor contract provisions. OTHER DUTIES 1. May perform back-up for other desks and provide support for other clerical staff; may travel to various sites as needed. 2. May be assigned a variety of assignments for the purpose of training and development. 3. Performs other duties as assigned. Minimum Qualifications: Requires graduation from high school or G.E.D. equivalent; and at least one year of responsible experience in performing administrative and clerical duties; or an equivalent combination of education and experience. A valid California Class C driver's license and the ability to maintain insurability under the Court's vehicle insurance policy. The ability to read and/or speak Spanish or another language is preferred.Employees must be willing and able to work at any of our Court locations in Brawley and El Centro. Licenses; Special Requirements Knowledge of: · Basic office administration practices and procedures.· Filing practices and procedures.· Practices, procedures and techniques applicable to automated record keeping.· Customer service and telephone etiquette practices.· Correct English usage, including spelling, grammar and punctuation.· Basic math functions. Ability to: · Learn and understand specialized information, including codes, rules, policies, procedures, forms and legal terms, and apply that knowledge in carrying out job assignments accurately and efficiently.· Perform official actions that require high attention to detail and application of code, rule and specific procedural requirements.· Prepare standardized forms accurately and efficiently.· Deliver highly culturally competent customer service.· Learn, read and understand legal documents and verify authenticity of signatures and documents.· Accurately code, index and file a high volume of official documents, in accordance with regulations and standard office procedures.· Perform basic arithmetic computations.· Keyboard at a level of speed and accuracy required for carrying out assigned duties.· Learn to operate and use a variety of electronic and automated office machines and equipment.· Perform cashiering duties, such as counting money and making change efficiently and accurately.· Communicate clearly and effectively, orally and in writing, in English.· Work in an environment that includes frequent interruptions and simultaneous attention to multiple tasks.· Use tact and courtesy in dealing with sensitive situations and upset customers.· Follow procedures and take actions within established authority limits.· Maintain appropriate confidentiality of Court documents and records.· Exercise initiative and resourcefulness in carrying out assigned duties within Court policy and procedure guidelines.· Represent the Court effectively in interactions with customers and representatives of other justice and public agencies.· Establish and maintain effective working relationships with court management, staff, customers, the public and others encountered in the course of work.Physical and Mental Demands; Work Environment PHYSICAL AND MENTAL DEMANDS The physical and mental demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this class.
