Reporting to the Accounts Payable Manager, the Account Payable Coordinator will provide key support to the Accounts Payable Manager and including financial, administrative, analytical, and operational by ensuring payments are completed and expenses are controlled by processing, verifying and reconciling invoices according to established policies and procedures in an efficient, timely and accurate manner independently with minimal supervision. DUTIES Act as key support staff for the Accounts Payable Managers in all matters related to accounts payable processing and perform said function in his/her absence. Complete full accounts payable process: maintain vendor database, process payment requests, obtain appropriate signatures and/or approvals. Print/mail or process payments in any form required (check, wires, ACH) and file completed documents. Review and process employee expense reimbursements in Concur and serve as back-up for Concur Company Credit Card Report review Enter affiliate payments in in treasury management payment processing system (ACH Payments, wire payments) Prepare 1099 forms at year end and ensure contracts and W-9 forms are on file. Prepare a Relocation Report for Human Resources Department. Key data into LIRS general ledger system, Excel and related databases from a wide variety of source documents. Prepare reconciliations for assigned general ledger accounts, as well as follow up on outstanding checks, identify and resolve issues. Set up ACH Direct Debit in MIP for vendor & staff and affiliate payments) and Prepared Balance Reporting/Daily Bank Account Detail Report from the banking treasury system. Prepare analytical and statistical report, recurring accounting journal entries and adjusting entries as may be necessary Other duties as assigned by supervisor. QUALIFICATIONS Bachelor's or Associate Degree with at least 3 years related business experience. experience working in a heavy volume/transactions, environment or equivalent combination of education and experience required. Working Knowledge in using General Ledger software and accounts payable related modules; experience in Abila MIP is a plus. Knowledge of regulations related to 1099's and appropriate internal controls related to cash disbursement. Proficiency with Microsoft Outlook, Excel and banking payment applications such as M&T Bank WebInfoPLUS. Excellent problem-solving skills and desire to serve and support others. Solid verbal and written communication skills; demonstrated ability to communicate agency policies and procedures to non-accountants; willingness to learn, hear; and give honest feedback in a way that is sensitive to the needs of others. Ability to anticipate priorities and organize work to achieve outcomes required of the team; proficiency in carrying out multiple tasks efficiently and meeting deadlines. Demonstrate ability to be flexible in responding to changing priorities and work demands. Extreme attention to accuracy and detail and the ability to handle multiple priorities and meet deadlines. Methodical and highly organized in reviewing and filing documents and information. Excellent customer service attitude and background. Experience with and commitment to working in a very diverse workforce.
