Reporting to the Program Supervisor, the Program Assistant for Transitional Foster Care will support LIRS in delivering high quality programs and services for unaccompanied children and refugee minors. This position is focused on providing research and administrative support to federally funded and privately funded programs across the Children and Family Services department. This position is expected to function effectively with moderate supervision while following the guidelines given on procedures, along with agency, federal, and state regulatory requirements. DUTIES Provide support to Program Officers and Associate Director in oversight of program quality and quality assessment tools. Assist in general operations of the department or unit including, but not limited to, communication with internal and external stakeholders, data entry, tracking and reporting, and administrative support for funding proposals. Schedule, plan, and attend internal and external meetings. Coordinate travel plans, conference presentations, and planning groups; negotiation meetings space; making arrangements for equipment and/or shipping. Greet and monitor entry/exit of clients, vendors, stakeholders and staff at the facility site. Prepare check requests for vendors, consultants, and others as well as expense reimbursement requests as needed. Produce internal and external documents including meeting minutes, letters, forms, and briefings. Document next steps and follow-up items subsequent to meetings/events; identify priorities, responsibilities and timeframe for those activities; distribute assignments as appropriate; and track follow-through. Assist with various programmatic communication processes and tools, including program memos, network communications, informational materials, and other communications and tools. Maintain up to date contact lists and address changes in databases. Provide assistance for monitoring preparation including collecting memos, training plans, and informal communications throughout the year and filing reports. Manage and conduct research on areas related to child welfare best practices as needed. Work after hours and weekends as needed. Actively participate on the team and be able to develop strategies that will strengthen the TFC program. Provide timely documentation in the UC portal and Apricot. Transport youth to appointments and unifications as needed. Complete other duties as assigned. QUALIFICATIONS Bachelor's degree strongly desired, preferably in Business Administration, or another relevant field and a minimum of three years of experience providing administrative/data entry support required OR equivalent combination of education and experience. Proficient in web communications technology, including Teams, Go To Meeting, etc. Experience working in a non-profit organization preferred. Demonstrated willingness to explore and learn new technology (hardware and software) to increase the efficiency and effectiveness of the work. Demonstrated organizational skills with meticulous attention to detail and ability to organize and prioritize, independently determining shifting priorities and responding appropriately. Demonstrated strong project management skills and ability to coordinate multiple projects simultaneously. Provide timely, professional and responsive communication with the team and other stakeholders. Excellent verbal and written communication skills, especially in proofing communications. Proven ability to exercise utmost tact and diplomacy when dealing with confidential issues and ability to discern confidential issues. Active motor vehicle license, clean driving record, and a reliable automobile with adequate insurance coverage. Ability and willingness to travel up to 25% including escorting youth to family unifications by car and air. Typically requiring same day travel but may, on occasion, involve overnight stays. Commitment to LIRS's core mission and values and an ability to model those values in relationship with colleagues and partners. Special Position Requirements Must be willing and able to clear a criminal background check for the past 7 years. Must be willing and able to request and clear Child Abuse and Neglect background check in all states lived within previous 5 years, updated yearly. Must obtain a negative TB Test yearly. Must be CPR, First Aid, and AEC certified upon hire or within 60 days of hire. Must be willing and able to obtain FBI fingerprint check every 5 years. Must have valid driver's license and MVA check free of major infractions for the last 7 years. Must be able to pass a physical exam and demonstrate they are up to date on all Coronavirus vaccines and boosters. Must clear a State of Maryland Department of Public Safety and Corrections Services screening.
