Facilities Manager Summary/Objective The Facilities Manager supervises, and coordinates activities of workers engaged in protecting, maintaining and repairing physical structures of buildings and grounds. Essential Functions Directs and assists workers engaged in maintaining essential systems like plumbing, lighting, light electrical and door hardware. Attend to the grounds, maintaining a clean, well-kept appearance to entryways and outdoor areas. Take inventory of supplies and goods, delivering reorder requests to the other CARITAS Departments. Engages in painting and performing structural repairs to masonry, woodwork, furnishings of buildings, picking up refuse, and general cleaning and upkeep of buildings, including buffing, dusting, sweeping, mopping, vacuuming, and washing windows. Primary Responsibilities Plans and coordinates schedule of preventive maintenance. Keeps aware of the condition of physical property throughout the community and immediately correct unsafe conditions; e.g., broken gates leading to the pool, broken steps, open holes, broken/burned out exterior lights. Maintains accurate records regarding preventive maintenance, service requests (received and completed), expenditures, apartment make-ready status, work-in-progress, etc. Ensures agency remains compliant with all federal, state and local building safety and health requirements. Assists other departments as requested, including moving furniture, monitoring laundry rooms, and unloading and storing supplies. Diagnoses and performs preventive and corrective maintenance or repair involving the following on a daily basis: Electrical and plumbing (including water lines). A/C and heating systems. Appliances (when applicable). Stairs, gates, fences, patios, railings. Tile, carpet, flooring. Roofing, gutters, fasteners. Interior/exterior lights. Fireplaces, ceiling fans. Gas fixtures and appliances (where applicable). Shutters, doors, cabinets, windows, sliding glass doors. Boiler, gas and electric. Door locks, P.O. boxes and locks. Security systems (where applicable). Ceiling leaks. Ensures that all make-ready repairs and services are completed correctly and on schedule. Reports all major repairs and requisitions to Senior Director of Facilities prior to any expenditure of funds. Changes locks and makes keys. Removes and transfers heavy appliances and equipment from storage area to apartments (or vice versa) and assist in moving abandoned furniture, appliances, etc., when necessary. Requisitions tools, equipment, and supplies. Inspects completed work for conformance to specifications and standards. Estimates worker hour requirements for completion of job assignment. Interprets company policies to workers and enforces safety regulations, to include coordinating safety management programs and quarterly fire drills on all shifts. Coordinates regular maintenance on all agency vehicles. Establishes or adjusts work procedures to meet production schedules. Suggests changes in working conditions and use of equipment to increase efficiency of work crew. Analyzes and resolves work problems, or assists workers in solving work problems. Initiates or suggests plans to motivate workers to achieve work goals. Maintains time and production records. Confers with other supervisors to coordinate activities of individual departments. Performs activities of workers supervised. Prepares department budget and monitors expenditure of funds in budget. Competencies Must have reliable transportation and have knowledge of all federal, state and local compliance and safety regulations. The ability to work with contractors and outside suppliers and work well with CARITAS' client population are necessary. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required: Computer Skills Microsoft Word, Excel and Google Docs and Forms. Supervisory Responsibilities Directly supervises 1-4 non-supervisory employees. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems. Travel Required Local travel may be required. Required Education and Experience Two years of experience in building maintenance and a high school diploma or GED are required. Technical (HVAC, Plumbing, electrical) certifications a plus.
