Process the return of failed equipment and/or defective parts, arranges shipments and/or pick-ups. Occasionally deliver warranty replacement parts and/or equipment. Retaining receipts of returns, keeping an account of pending, processed, on hold, or denied claims. Tracking pending, received, or overdue credits. Follow up on paid and unpaid claims Post credits electronically Track parts for processing Prepares, records, and reconciles warranty claims and performs a variety of duties supporting the Service Department Review every warranty repair order written for proper completion, accuracy, and legibility according to the policies and procedures Review and manage all aging schedules and reports Review claims for proper diagnosis and determine appropriate coverage Arrange for parts to be shipped to the factory or distributor, or to be scrapped Claims handling including gathering of labor time and cost, parts costs, enter information into system, set-up claim in system with notes, reasons for approval/denial. Data entry, including creating replacement orders, return material authorizations, and credits. Other duties, as assigned. Knowledge: Provide customer service to contract holders, home service providers, and parts/product suppliers in a call center environment. Determine the company's liability related to all warranty claims and address any customer and/or inquiries related to contract procedures and coverage. Possess strong organizational skills to ensure that all warranty paperwork and documentation are completed and maintained in an orderly fashion. Communicates frequently with vendors and manufacturers to ensure claims are completed in a timely, efficient manner. Possess basic computer knowledge and good clerical skills. Excellent computer skills including MS Word and Excel. Ability to communicate effectively orally and in writing. Technical understanding of product, expert on warranty requirements Knowledge of administrative warranty concept Interpreting and applying warranty codes to product Monitoring and updating various manufacturer websites Knowledge and experience with accounting and 3rd party billing
