Description:
This position reports directly to the Human Resources Director. Answers telephone and directs calls to appropriate individual or takes and relays messages promptly. Greets guests and provides direction. Performs general secretarial duties and provides clerical support to the Seton Residence Sisters and Human Resources. ESSENTIAL FUNCTIONS: Answers incoming phone calls and either directs the caller to desired individual or takes and relays clear, concise written messages promptly. Greets and guides visitors to proper destinations. Generates, types, composes, and revises correspondence and other printed material as assigned. Maintains filing system and assists in record keeping. Weighs and posts outgoing mail, and receives sorts and distributes incoming mail for Seton Residence. Inventories and orders necessary office supplies for workroom and keeps items neat and organized. Maintains organization of front desk and workroom. Maintains files and processes monthly matters such as postings and distribution of programs and material. Provides secretarial support to the Human Resources Department as assigned. Provides secretarial support to various departments with special projects and mailings with approval from Human Resources Supervisor. EDUCATION AND EXPERIENCE: High school graduate or the equivalent required. Some college or vocational business classes preferred. At least two years secretarial experience required; must be proficient in Microsoft Office Suite and have experience with a multi-line telephone system. Transfer request forms are available in the cabinet marked "Human Resource Forms" in the Seton workroom or from Human Resources. Completed forms must be turned in to Human Resources by June 13, 2014.
