JOB TITLE: PROGRAM ADMINISTRATIVE ASSISTANT Department: Administration Reporting Manager: EMHRS Director Officer Position Status: Full Time 8 AM- 4 PM Monday- Friday Classification Level: Non-Exempt Revised: February 2021 POSITION SUMMARY : The Administrative Assistant II will support organization operations by performing clerical, administrative, and secretarial tasks. The position interacts with the EMHRS management team to provide client centered and professional customer service. Essential Functions of the Position Include: Assists the Director and Manager(s) in prioritization and scheduling work for day-to-day operations. Setting up calendars for the year Identifying scheduling gaps Entering and updating on-call and supervisor-on-call shifts into iCarol Retrieves information as requested from records, email, minutes, and other related documents; prepares daily, weekly, monthly written reports and summaries of data when needed. Audits monthly billing for department. Assists with various components for New Hire Onboarding such as interview materials, candidate technology accounts and equipment. Maintains office supplies and coordinates maintenance of office equipment. Monitors and reviews and reminds staff for training and meeting attendance. Types and edits basic business correspondences. Answers and routes telephone calls Pushing unanswered messages back into MOR after a specified time frame, using Outlook rules folder Makes copies and prints forms for departments as needed. Maintains documents and files, specifically for incoming clients/intakes Attends required training and professional development classes. Maintains and manages staff awards. Assists with front desk/reception back up coverage. Other duties as assigned. Position Qualifications: EDUCATION : Associate's Degree or equivalent combination of education and experience; Bachelor's Degree preferred. EXPERIENCE : 1-3 years' experience in an Administrative position or in an office setting. SKILLS : Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Proficient in Microsoft Office Suite or related software. Excellent organizational skills and attention to detail. Basic understanding of clerical procedures and systems such as recordkeeping and filing. Ability to prioritize and thrive in a busy environment. Ability to work independently or as part of a team.
