The Director of Events is responsible for all aspects of the Events department which includes vision, strategy, sales, logistics, and day to day management. They work with a variety of community partners to provide engaging public events and private event rentals. This position provides strategic oversight of events programming, and provides Events staff with the support and leadership needed to successfully execute OMSI events and programming. Essential Job Responsibilities Events Leadership: Provides strategic oversight and leadership within the Events division programming, strategic initiatives and priorities, and sales goals and objectives; Works with the VP of Marketing & Retail to develop and manage the Events budget (~$700k annual budget), with the responsibility of supporting the generation of over ~$1 million in annual revenue; Develops, implements, and manages Events metrics and audience data to optimize OMSI's outreach to both existing and potential audiences. Identifies trends and evaluates strategies to reach new audiences; Identifies new business and marketing opportunities-both within and outside the organization-that aligns with and supports OMSI's strategic plan and events objectives; Collaborates and provides supervision of a variety of departments for the successful execution of events at OMSI. Departments include Facilities, Museum Education, Retail, and Guest Services, as well as volunteers; Provides leadership to the Events Sales team in prioritizing an efficient sales cycle, with an emphasis on developing proposals, conducting private site tours, preparing rental contracts, billing for event services, and re-bookings; Conducts regular internal and external communication, planning, and contracts for clients (SalesForce, internal documents, reporting, tracking, etc.); Manages and oversees OLCC licensing and documentation, and ensures guidelines and policies are appropriately followed by OMSI staff. Community Partnerships & Relationship Stewardship: Develops and fosters community partnerships, with an emphasis on creating unique experiences that increase attendance and guest engagement; Manages food-related relationships and partnerships related to event catering and food service, such as OMSI After Dark, Reel Eats, or similar; Curates a list of preferred caterers, and collaborates with the VP of Marketing & Retail to ensure strategic and programming alignment; Represents OMSI externally at professional or community based events; Works closely with Travel Portland on various opportunities that increase the brand and reputation of OMSI in a national and international context. Leads and supervises the Events staff. Tasks include-but are not limited to-the following: Provides regular support during Events-related activities, with an emphasis on mentoring, coaching, and leading by example; Prepares and facilitates the development and implementation of staff workplans, and provides regular 1-on-1s, check-ins, regular team meetings, and performance reviews. OMSI Collaborations: Collaborates with the Development team on identifying, cultivating, and incorporating sponsorship opportunities for OMSI events; Collaborates with OMSI's Marketing team to successfully promote events and recognize partners; Manages museum-wide scheduling systems and facilitates room reservations with internal departments. Effectively manages space requests, to maximize revenue and meet overall museum program needs. Working Conditions This position is exempt, paid salaried; This position is regular full-time scheduled for 40 hours/week; This position requires working onsite at the museum location; You must be fully vaccinated and boosted for COVID-19 or qualify for an accommodation under the ADA for medical or religious reasons; This position requires working on some weekends, holidays, early mornings, late nights, and/or evenings in support of Events programming; Physical Demands: 75 % sitting, 20 % standing, 5 % lifting/carrying/pushing 50 lbs; Ability to push carts and other equipment for food/drink deliveries up to 600 lbs; Ability to stand and walk for 8 hours or more for Events programming; Vision Demands include: Close vision (clear vision at 20 inches of less) Distance vision (clear vision at 20 feet or more) Color vision (ability to identify and distinguish colors) Peripheral vision (ability to observe an area that can be seen up and down or to the left or right while eyes are fixed on a given point) Depth and perception (three dimensional vision, ability to judge distance and spatial relationships) Ability to adjust focus (ability to adjust the eyes to bring an object into sharp focus) Environmental Demands include: Outdoor weather conditions Noise Levels include: Very quiet (examples: forest trail, isolation booth for hearing test) Quiet (examples: library, private office) Moderate (examples: business office with computers and printers, light traffic) Loud (examples: metal can manufacturing department, large earth-moving equipment) Very loud (examples: jack hammer work, front row at rock concert) Secondary Job Responsibilities Secondary responsibilities include-but are not limited to-the following: Remains knowledgeable about the general Events landscape environment; Works with food service providers to support events at OMSI; Stays current with Informal Science Education (ISE) field to pursue best practices, partnerships, and new audiences. Knowledge/Skills/Abilities REQUIREMENTS: Business Practices: Developed communication skills, with an emphasis on presentation and public speaking; Ability to model and support a positive team dynamic with paid and unpaid staff; Ability to effectively handle multiple tasks, often with overlapping and time-sensitive deadlines; High proficiency with Google Suite and/or Microsoft Office; Ability to adhere to confidentiality, protocol, and community agreements; Demonstrated ability to pivot between individual and team work; Exercises sound judgment while upholding high integrity and ethical standards; Excellent organizational, analytical, and problem solving skills; Excellent attention to detail with a high degree of accuracy. Events Knowledge & Communication: Ability to vision and develop innovate events programming; Strong ability to research, draft, clearly edit, and provide accurate information for general audiences; Ability to act as a museum spokesperson for exhibits and events; Ability to interact with a range of diverse audiences and stakeholders, while providing high customer service in a culturally responsive manner; Ability to conceptualize and explain high-level, big-picture ideas and strategies, then apply them at a tangible, operational level in service of events professionals as well as learners; Knowledge of Fire Code rules to ensure compliance; Knowledge of Oregon Liquor Control and Cannabis (OLCC) rules to ensure compliance. Supervision and Leadership: Developed organizational, project, leadership, and people management skills that encourage collaboration, team-building, and accountability that meet individual, departmental, and organizational deadlines; Ability to model and support a positive team dynamic with an emphasis on coaching and mentoring paid and unpaid staff using asset-based feedback; Ability to manage six-figure annual budgets, estimate labor time and costs for projects, and manage employee and vendor workloads across multiple and simultaneous projects; Ability to maintain and support professional relationships with community and industry partners. PREFERENCES: Developed knowledge of diversity, equity, and inclusion principles; Proficient or native fluency in a second language (non-English). Education & Work Experience REQUIREMENTS: 8 years of cumulative experience with increasing responsibility in large scale event management: Examples of successful event management and execution while balancing organizational, budgetary, and audience needs; Demonstrated project management experience, with an emphasis on staff supervision, multiple project management, resourceful problem-solving and adaptability, process improvements, and budget responsibility; Experience working effectively with people of diverse backgrounds and talents in professional work environments, with an emphasis on collaborative projects and deliverables; Examples of effective communication with a variety of internal and external stakeholders in a work environment, as well as fostering strong and lasting community partnerships and relationships. Minimum of 3 years experience with supervising and supporting the professional growth and development of staff and/or volunteers; PREFERENCES: Nonprofit and/or museum leadership and management experience; Prior experience in formal or informal science education; Experience generating revenues in fundraising, grants, memberships, and/or other streams; Experience working with and/or managing volunteers; Experience/comfort with being on stage and in front of large crowds, and representing OMSI events on live TV, radio, and/or being interviewed by print media. Additional Requirements/Preferences; Including Licenses and Certifications REQUIREMENTS: Pre-employment checks, such as criminal background checks and reference checks; OLCC License Server Permit; Oregon Food Handlers Card; Valid Driver's License. PREFERENCES: Current Adult and Pediatric First Aid, CPR, and AED certifications.
