Due to our rapid growth, our success is directly dependent on attracting and retaining the best possible talent across our teams. To this end, we are posting for a strong Office Manager. This opportunity will be based in our corporate headquarters in Needham, MA with an occasional need to visit our Norwood manufacturing facility. The schedule will follow our hybrid work model, three days working onsite and two remote working days. WHAT'S IN IT FOR YOU? You will lead the Events Committee, plan and organize fun events, and attend those events! You will have exposure to the CEO, executive team and fun people from all functions and levels! You will play a leadership role in employee engagement and retention, as well as provide excellent office amenities. OVERVIEW OF ROLE: The Office Manager will be a personable and energetic self-starter who is responsible for coordinating the flow of all incoming visitors, answering and directing phone calls, and supporting our administrative team by assisting with various projects and general duties. ESSENTIAL DUTIES AND RESPONSIBILITIES: Lead the Events Committee, which is a passionate group of people interested in bringing together people for fun, food, drinks, laughter, health, charity causes - anything the group decides. Manage the associated events budget. Provide administrative support to senior executives as assigned to include travel arrangements, calendar management, etc. Assist the Office of the CEO as required including shipments, orders, going through mail. Manage the mailroom and transportation of documents to the Norton Storage Facility Manage custodial services as it applies to the office area. Order supplies and coordinate with coffee vendors, water distributors, restaurant catering and other vendors, as well as building management and TripAdvisor teams as needed. Organize office-related needs including cubical changes, office cleanings, etc. Act as a liaison for vendors and guests visiting our office to ensure that their employee point of contact is notified of their arrival and meets them in a timely fashion. Coordinate catering for office functions and order flowers/gifts for specified occasions. Maintain conference rooms. Conduct Cost Analysis for all office supplies, kitchen supplies, coffee vendors. Assist with the shipping and receiving of items to various offices, trade shows, etc. Conduct other duties as assigned. EDUCATION AND/OR EXPERIENCE: High School Diploma required; college degree preferred. 1-2 years of relevant experience preferred. PHYSICAL DEMANDS: The below physical demands are representative of those that must be met by the team member to successfully perform the essential functions of this job. Able to sit / stand for prolonged periods at a desk and working on a computer. Must be able to lift up to 15 pounds . Must be able to work in a fast-paced work environment where a broad range of tasks may be required. Must be able to learn new tasks, remember processes, maintain focus, complete tasks independently, and tasks in situations that have a speed or productivity quota. Will be required to communicate with colleagues and visitors. Will communicate accurate information to colleagues regularly. Must have good vision and manual dexterity.
