TITLE: Office Manager LOCATION: Daemen, Amherst NY Campus REQUIREMENTS: Daemen College is pleased to develop employees who are always encouraged to seek new challenges internally. The Office Manager must have a minimum of an earned Bachelor's Degree and experience multi-tasking, managing Microsoft Office applications, and working in a fast-paced office environment. Experience in working with marketing and desktop publishing platforms (Canva, Photoshop, etc) and intermediate excel skill is a plus. The Office Manager must have the ability to handle tasks independently and the ability to interact in a positive and professional manner with students, faculty, administrators, staff and the public. RESPONSIBILITIES: The Office Manager provides administrative support for a variety of stakeholders within the incumbent department. The Office Manager is responsible for answering and routing calls, providing direction and service to visitors to the department, scheduling appointments, and handling day-to-day operations of the office, including the supervision and training of the student assistants. BENEFITS: This is a full-time, 12-month, non-exempt position. Salary is competitive and includes full College benefits. SPECIFIC RESPONSIBILITIES: Act as a first-line resource for individuals contacting the division by telephone or in-person visitors to the department. Route incoming calls, take accurate messages and manage and distribute incoming faxes. Provides administrative support for a variety of stakeholders, up to and including department chairs, Vice Presidents, faculty and staff. Must be able to pivot rapidly and provide accurate, quality service to a variety of customers. Design various correspondence including emails, newsletters, signage, and reports. Monitor various platforms on proprietary software and become adept at utilizing a variety of programs. Provide administrative assistance to the various offices within the department. Handle incoming and outgoing correspondence. Schedule and coordinate meetings and appointments. Maintain office calendar. May manage sensitive files, data access, key access, and more. Ensures the correct parties have access to necessary info and maintains strict confidentiality. Assist in departmental events as necessary. Maintain office supplies - ordering and purchasing, subject to the approval of supervisors in the office Provide administrative assistance for special projects as defined by the incumbent department. Perform these projects with accuracy and requisite confidentiality. Possibility to make requests for parking passes and/or reserved parking spots for visitors to the campus or campus events. Possibility to assist with issues regarding parking permits. Possibility to assist in backend system for Daemen ID card photo uploads. Possibility to interact with employment files and perform onboarding or offboarding tasks. Possibility to interact with classroom software to assist faculty. Possibility to assist with events (commencement, award nights, guest speakers, etc), and various related tasks such as sending invitations and event check-in. Print and distribute various reports as needed. Supervise, schedule, train, and evaluate a large student assistant staff working in the department. Other duties as assigned BENEFITS/STATUS This is a full-time, 12-month, hourly (non-exempt) staff position. Salary is competitive and includes full University benefits and professional development opportunities. Benefits are available the first of the month following the full-time employee's date of hire and include health, dental, vision insurance, and fully paid life insurance. In addition, we offer fully paid long term disability insurance after 3 months of employment. Eligibility for the 403b retirement plan is available to full-time employees upon hire and an 8% employer match after one year of service. Tuition waiver benefits are also available for full-time employees and their qualified dependents. Standard Background Check Required. General Physical Requirements: Light Work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to move objects; desk job with majority of sedentary work sitting roughly 50% or greater of the workday. Working Conditions : Climate controlled office setting, but some activities/ duties can occur both inside and outside the office setting. Post-Hire Trainings: Various trainings assigned upon hire and annually thereafter by the Office of Employee Engagement.
