Position Summary This position is responsible for assisting with HR policies, procedures, systems and support the HR Director. This includes coordination of payroll functions; maintaining personnel files; coordinates hiring and termination processes; assist with employee benefit administration; maintain agency archive file system and ensure all human resource functions are complying with local, state and federal regulations. Essential Duties and Responsibilities Human Resource Administration Regularly input and update employee information including new hires, terminations, employee compensation and benefits information. Ensure integrity of employee database information by regularly reconciling stored information with the finance department and current employees. Maintain Applicant Tracking System (ATS) including applicant correspondence, status updates, and open and closed positions. Process and prepare information packets for new hires and terminating employees. Process pre-employment background checks and communicate promptly regarding results or any complications. Assist HR Director with implementation of employee events (Open enrollment, AQM, etc.) Coordinate with agency audits for HR compliance from external Federal, State, and Local agencies. Benefit Administration Monitor employee time and attendance for accurate pay and benefit usage. Process employee enrollment and termination applications for benefits. Respond to employee requests and questions regarding benefits. Maintain employees Paid Time Off (PTO) through HRIS and Excel spreadsheet. Payroll Prepare and process semi-monthly payroll including new hires, wage assignments and other payroll deductions to maintain integrity and accuracy. Distribute calendar year end W2 statements to staff. Run reports from payroll system as needed. Coordinate and maintain compliance trainings in Paylocity. Staff Development Assist HR Director with design and implementation of HR trainings for employees; Provide research for HR staff trainings and Paylocity expansion training. Maintain training material; revise and update for compliance and accuracy. Maintain a functional spreadsheet for identified staff development trainings from annual performance evaluations. Coordinate, schedule, and maintain New Staff Orientation; provide analysis for improvement and survey analysis results. Coordinate Health and Safety Workgroup committee; provide trainings, schedule group meetings. Attend HR initiatives with DEI committee to continue efforts of maintaining and building inclusiveness throughout the agency. Qualifications and Requirements Education : Bachelor's degree in Human Resources or related field required. Required Licensure and/or Certification: N/A Job Experience : 2 years of experience in human resources or office, preferably in a non-profit; experience with HRIS and/or payroll software Paylocity. Special Knowledge & Skills : Familiarity with issues surrounding homelessness preferred; proficiency in Microsoft Office software or related software; effective oral and written communication skills; ability to work effectively with people of diverse backgrounds; ability to maintain confidentiality and manage multiple projects; Must be well organized, detailed oriented; ability to effectively complete multiple projects and meet deadline.
