POSITION SUMMARY Plans, negotiates, and manages internal event and project details, establishes and maintains strong communication with alumni and friends through personal interaction; maintains and updates records in database and provides daily administrative support to the Office of Institutional Advancement specifically Alumni Relations and Development. Works with the Director of Alumni Relations and Assistant Director of Alumni Relations in planning and coordinating Homecoming, Legacy Ball, Golf Outing, and regional events. Works with Director of Development to coordinate development work. Assists with event planning both off and on campus, focus here primarily on alumni office related events. Aids with projects/event planning/programs both on and off campus. Assists with schedules and meetings on and off campus for alumni and development personnel, primarily alumni related. Manages calendars and travel for office. Coordinates Alumni Mentor Program Works with NetCommunity website and Raiser's Edge database to help coordinate and manage communication, documentation and profiles for alumni and development offices. Assists in implementing important segments of Advancement Office's Strategic Plan. Creates financial reports for Loras Networks and boards. Assists with financial reporting and processing for the advancement office. Identifies pertinent information regarding alumni, and shares with appropriate departments. Initiates and prepares reports in preparation for mailings for alumni and development office. Reviews and responds to alumni email, phone calls, and receives visitors. Ensures all reports are updated in a timely fashion and assists in pulling documentation together for reports. Manages office inventory and supplies. Supports the mission and vision of the College and respects the College's Catholic tradition. Performs other related duties as assigned. Relationship Building - Ability to effectively build relationships with customers and co-workers. Time Management - Ability to utilize the available time to organize and complete work within given deadlines. Education: Associate of Arts or Bachelor's degree preferred. Experience: A minimum of one to three years of administrative or office experience. SKILLS & ABILITIES Other Requirements: Skilled in the use of a personal computer and Microsoft Office Suite. Proficient in Excel and comfortable in basic web applications. Knowledge of modern office methods and equipments. Knowledge of good human relation practices. Ability to establish and maintain effective working relationships with other employees, students, alumni and other external constituencies of the College. Ability to organize and prioritize work and to manage multiple projects. Ability to follow oral and written instructions in detail and with accuracy and efficiency. Strong verbal and written communication skills. Willingness on occasion to perform work after normal work hours and some weekends. APPLICATION PROCEDURE.
