Linfield University is seeking an experienced individual to join the Office of the Registrar as an Academic Records and Transcript Evaluation Specialist . The Academic Records and Transcription Evaluation Specialist evaluates transcripts and other external records, provides information to students on academic requirements, and enters and updates academic information in student information systems. Responsibilities include but are not limited to: evaluating course descriptions for preliminary transfer approvals; evaluating transcripts and entering accepted courses; updating degree audits; and registering students. Review of applications will begin immediately and will remain open until filled. Primary Duties and Responsibilities: Process and review external transcripts, student records, and degree audits, which includes: reviewing coursework; evaluating transcripts; updating degree audits; and performing related activities. Assist the Assistant Registrar with external credit review process. Provide assistance with a variety of enrollment services which includes preparing correspondence for prospective students, registering students, and recommending courses to fulfill graduation requirements. Support document management and retention processes. Perform internal audits of process efficiencies and work to implement and utilize technology to support registrar's office procedures. Prepare a variety of reports, schedules, forms, and/or other information related to assigned area of responsibility, utilizing established guidelines and procedures. Greet visitors to the department, whether in person, by phone, or via departmental email, triage their needs, assist them or direct to appropriate personnel. Train and supervise the department's student employees. Update and maintain a detailed procedure manual and model appropriate office behavior. Respond to requests for information related to records, reports, and/or general information in assigned area of responsibility. Input a variety of data and information into applicable spreadsheets, databases, and/or other related sources. Process updates to data and information. Assist with all office processes at busy times, such as the beginning of each semester and add/drop deadlines, as well as degree processing-which usually may include evening and weekend work. Perform other duties as assigned. Minimum Qualifications: Bachelor's degree and one-year experience working with academic records; or an equivalent combination of education and experience demonstrating: Basic higher education registration principles, practices, and processes. Knowledge of degree requirements and maintenance of student information. Customer service principles. Modern office practices, including records maintenance, filing, and using a computer and related software applications, including but not limited to MS Office Suite and Adobe Pro. Constant sitting, hearing, seeing, talking and repetitive movement of the wrists, hands and fingers. Frequent standing, walking, and climbing stairs. Occasional exposure to weather elements when walking from building to building on campus. Occasional pushing, pulling, carrying, or lifting up to 25 pounds.
