ABOUT THE POSITION: We are currently seeking an Assistant Head of School for Business Operations to oversee the management of the school's finances and financial activities, including financial risk management, financial planning, financial reporting , business operations and reporting to the board of Trustees. The Assistant Head of School for Business Operations reports to the Head of School, and works closely with the Chairs of the Assets, Audit, and Futures Committees of the Board of Trustees on strategic matters as they pertain to the advancement of the School. Primary responsibilities include but are not limited to: Financial planning and financial management: The Assistant Head of School for Business Operations is responsible for ensuring the short-term and long-term financial sustainability of the School. This includes: Providing oversight and maintenance of accounting records including but not limited to fund accounting, endowment accounting, operating accounting, capital accounting and program accounting, in partnership with the Controller and the Senior Business and Human Resources Manager. Working closely with the Head of School, Administrative Team, Business Office, and the Assets, Audit, and Futures Committee, Chairs of the Board of Trustees to assess the School's financial needs in the context of strategic priorities of the School. Preparing the annual budget, internal financial reports, cash flow analyses, the annual audit, and tax forms. Working closely with business office personnel, ensuring that proper internal transaction processes and controls are in place and meet the standards as set forth by our independent auditor. Working closely with our financial institutions to ensure the proper maintenance of accounts, the School's debt, and endowment investments. Overseeing the review process and the execution of policies & procedures Supporting and adhere to all school-related safety measures, including those related to community health events Risk Management, Safety, and Security: The Assistant Head of School for Business Operations will take the primary lead in our overall strategic approach to risk management, putting the School in the best possible position to support our students, parents, faculty, staff and Board of Trustees. This includes: Working closely with our Insurance Broker and Insurance Companies to ensure oversight on policies and procedures. Working with administrators and other constituencies to maintain and advance our safety and security initiatives and to ensure the School is in compliance with all regulations and best practices in this area. Human Resources: The Assistant Head of School for Business Operations will work closely with the Senior Business and Human Resources Manager assisted by ProService Hawaii (outsourced HR services provider) in fully supporting our employees. This includes: Working with the Senior Business and Human Resources Manager on annual salary and benefit budgets to ensure we are offering accurate, comprehensive employment packages to our employees. Working with the Senior Business and Human Resources Manager on the annual renewal of benefits packages in consultation with our benefits broker. Working with the Senior Business and Human Resources Manager on our Employee Handbook to ensure that the School is in compliance with all laws, regulations, and best practices. Working with the Senior Business and Human Resources Manager to oversee all aspects of Human Resources as it relates to policies and practices. Facilities Management: The Assistant Head of School for Business Operations will take responsibility for the overall maintenance of the School plant and future capital projects. This includes: Working closely with the Facilities Director and the Futures Committee of the Board of Trustees on developing annual and long-range plant renewal plans. Working closely with the Technology Team on annual and long-range plans as they pertain to maintaining a robust technology infrastructure on campus. Working with the Head of School, Chair, Board Committees, and School constituencies on the overall development of the School Plant, in particular, playing a key strategic role in the evolution of major capital projects under the master facilities plan. Technology: The Assistant Head of School for Business Operations will work closely with the Director of Technology and the Technology Team to fully support the technological needs of the School. This includes: Working with the Director of Technology on annual and multi-year technology plans. Working with appropriate constituencies to make sure the School plans financially for the appropriate support of technology on campus now and into the future. Foodservice: The Assistant Head of School for Business Operations will work directly with the outside food vendor to provide an appealing, nutritious, and cost-effective food service program. This includes: Working closely with the School's third party vendor in providing and maintaining a quality lunch program for students and employees. Coordinating with staff to ensure compliance with state and local agency requirements. Supervisory Responsibilities: The Assistant Head of School for Business Operations will primarily lead and manage members of the Business Office, Bookstore, Facilities, Housekeeping, and the Director of Technology and Technology Team, as well as the various consultants and outside vendors the school engages within support of the School's finances and operations. QUALIFICATIONS: B.A. or B.S. degree mandatory. C.P.A. highly recommended. M.B.A or other advanced degrees are desirable. Excellent interpersonal, communications, public speaking, and presentation skills and the ability to use sound judgment and work independently in a confidential manner. Proven management experience with an organization of similar size & scope - an independent school environment preferred. Experience in a senior financial management role with a proven record of partnering with various constituencies on an organization's priorities. A proven record of strategic thinking and helping to lead and execute major capital projects. Ability to execute changes gradually and steadily, by inspiring the community towards the long-term vision of the school The desire to live and espouse the values inherent in the Hawaii Preparatory Academy Mission, values, and overall culture.
