POSITION OVERVIEW NBME is seeking a Senior Administrative Support Coordinator to join a dynamic department. The Support Coordinator will be a key contributor for the unit with responsibility for administrative coordination, centralization of team budgeting and purchasing, communication development, and event planning and coordination - all with the outcome of a positive impact on our employee experience. The ideal candidate will have experience with a broad variety of advanced administrative processes and activities and will regularly perform a significant amount of work that requires a great degree of expertise and sound judgement. This role has been designated as primarily remote which means it generally does not require onsite work more than an average of 2-3 times per month and may require additional prescheduled onsite work. RESPONSIBILITIES Schedules meetings, interviews, and training classes and assures room setup is correct and materials are available. Prepares for new hires, anniversaries, and terminations. Assembles informational packets and ensures adequate supplies are on hand. Coordinates ongoing team meetings and manages the department agenda. Independently organizes and coordinates complex administrative activities and performs routine and non-routine operational work activities for assigned unit/program(s). This may include events that require creating timelines; collecting agenda items and background materials or to consistently coordinate complex itineraries and meetings. Establishes and maintains administrative project plans; builds timelines, establishes milestones, and allocates resources. Communicates project requirements and specifications for assigned programs across unit teams and externally to vendors and content experts. Monitors progress across projects, identifies obstacles, and ensures compliance with project plans. May maintain multiple project plans. Responsible for general office duties such as distributing and sorting mail (electronic and paper), coordinating mass mailings,. composing routine letters and memoranda, , and ensuring HR documents are properly retained and filed. Maintains accurate calendars while scheduling meetings, presentations, and conferences. Serves as the primary administrative contact for HR; for both routine and non-routine internal and external communications. Responds to unanticipated and complex inquires/requests that may require the interpretation of policies and procedures. Research information to resolve non-routine problems and technical/systems issues. QUALIFICATIONS Skills and Abilities Ability to work as part of a team. Attentive to detail and deadline oriented. Excellent organizational skills with ability to multitask and juggle priorities. Ability to handle information in a confidential manner. Excellent time management and follow-up skills. Excellent planning, organizational, and problem-solving skills. Excellent interpersonal communication skills for dealing with all levels of internal/external staff/contacts/clients/committee members/vendors, etc. Positive attitude for supporting team. Flexibility, resourcefulness. Excellent oral and written communication skills (grammar, punctuation, spelling). Proficiency in MS Office applications and database experience. Familiarity using Oracle a plus.
