Position Summary This entry-level position serves as the office receptionist and front line for visitor questions. It has dual responsibilities in both the Visitor Services and Tourism departments. Direction will be from the Visitor Services Manager and Associate Director of Tourism Sales with 80% of time dedicated to Visitor Services and 20% of time dedicated to Tourism. The Visitor Experience Specialist acts as an information resource for all individuals requesting information about the destination as well as provides support to the Tourism Department for specific internal projects. Reports To: Visitor Services & Tourism Manager Essential Duties and Responsibilities (include the following, but are not limited to) Visitor Services: Maintains a working knowledge of the destination's highways, transportation systems, public and private attractions and recreation areas, events, weather conditions, accommodations and tourist attractions. Answer telephone calls, email, chatbot and walk-in inquiries for Visitor Services Department. Remains in phone queues during open office hours, while manning the front desk. Assist all walk-in visitors in the lobby for meetings or obtaining information. Ensures that visitor information publications are well stocked in the brochure racks in the lobby; disposes of outdated materials. Assist in daily distribution communication and tracking of Destination DC publications. Primary contact to receive requests for bulk orders: offers information to clients placing large orders as described by office policy, logs orders into database, and processes orders for distribution if needed, processes payments and tracks delivery of orders and receives payment and records receipts for services. Assist in drafting content for Visitor Service and Tourism newsletters, Destination DC eNews, email templates and other correspondence for consistent messaging. Assist part time staff, Red Coats, when working front desk. Provide meeting minutes for selective Stand-Up meetings and all Visitor Services meetings. Conduct visitor services research and complete special projects. Cover manager's duties as needed in their absence. Other duties as requested by Visitor Services & Tourism Manager. Tourism Development: Assist with outreach to confirm appointments for sales missions and Familiarization tour itineraries. Assist in finalizing itineraries in partnership with the Tourism Admin and/or Associate Director of Tourism Sales. Partner with Tourism Coordinator for day of logistics for activations. Other duties as requested by Visitor Services & Tourism Manager. Experience, Competencies & Education Associates degree (A.A./A.S., A.A.S.) and/or equivalent relevant work experience. Bachelor's Degree (B.S./B.A.) in marketing, business or tourism, preferred. Keen knowledge of the Washington Metro area and its environs. Knowledge of Washington, DC, the city's sports teams and high-profile events. Strong customer service skills and excellent telephone manner. Data entry experience and proficiency with Microsoft Office required. Strong presentation and interpersonal skills. Effective oral and written communication skills. Strong visual skills (such as reading and interpreting maps and brochures). Initiative to handle routine problems. Ability to move heavy stacks of collateral.
