Linfield University is seeking an experienced individual to join School of Nursing as an Administrative Assistant. The Administrative Assistant provides high-level support to the Dean of Nursing, Associate Deans of Nursing, and Director of Nursing Academic Operations, as well as other nursing department faculty and staff. The Administrative Assistant coordinates, implements, and supports departmental projects, policies & procedures, and administrative responsibilities relating to academic affairs and clinical education for the School of Nursing. Review of applications will begin immediately and will remain open until filled. Primary Duties and Responsibilities: Clinical Education Manage incoming and current student & faculty compliance including communicating to address compliance requirements. Assist with background checks on faculty and students, approve in compliance database. Provide information to Dean of Nursing for student/faculty flagged background checks or drug Work with HR to obtain background checks for compliance database. Support students to assist in their understanding of and compliance with clinical placement requirements. Facilitate or contribute to School of Nursing clinical meetings as needed related to duties. Create documents, spreadsheets, and presentations to support areas of responsibility. Other tasks to facilitate effective functioning of the School of Nursing clinical education as needed or assigned. Academic Affairs Coordinate, perform, populate, and store various School of Nursing administrative materials for program accreditation, including but not limited to: Implement, evaluate, track, and update post-graduate employment survey materials and data. Conduct School of Nursing instructor, course, and other faculty (non-adjunct) evaluations each semester utilizing software applications as well as programming and oversight of evaluations system. Manage Clinical Instructor Evaluations and produce and distribute reports from resulting data. Coordinate and store Clinical Evaluation Instrument and signature pages. Process, store, archive, and update files relating to Dean's Office as needed (meeting minutes, job descriptions, events, etc.)  Record and distribute minutes of assigned meetings and other data, as well as participate in committee and department meetings as needed. Assist Dean of Nursing, Associate Deans of Nursing, and Director of Nursing Academic Operations with administrative tasks as needed. Serve as back-up to the Administrative Specialist to the Dean and the Clinical Facilities Coordinator (CFC) as needed. Make travel arrangements as needed for guests, students, or faculty. Assist the Administrative Specialist with departmental financial services, including but not limited to: Reconciling expenditures, creating reports, overseeing funds Facilitate verification and payment of invoices and products Event development and facilitation of School of Nursing events (e.g., Pinning Ceremonies, clinical advisor council, clinical faculty workshops, awards, lecture series, and other events as assigned). Oversee and direct logistics of event planning, implementation, day-of support, and follow-up. Responsibilities include but are not limited to: communications and marketing, logistics, reporting/tracking, presentations, catering, contracts, event set-up and teardown, and coordination with various stakeholders. Provide administrative support for the School of Nursing award committees and university-wide special events as needed. Collaborate with Student Life and Director of Nursing Academic Operations on student programming as needed, such as bi-annual career fairs. Create reports and presentations for the School of Nursing community and Linfield University colleagues, students and visitors as needed. Monitor departmental shared email accounts. Support School of Nursing academic programs and initiatives as needed. Other tasks to facilitate effective functioning of the School of Nursing as needed or assigned. Qualifications: One year of clerical or administrative assistant experience (preferably in higher education); or equivalent combination of experience and education, demonstrating: Flexible and able to prioritize work assignments, meet deadlines and ability to work in a cooperative team environment. Excellent written and verbal communication Professionalism, discretion, and ability to maintain confidentiality of sensitive information. Intermediate level computer skills using Microsoft Office products (including Word, Excel, PowerPoint, Outlook) and ability to learn and integrate new software and systems. Well-developed interpersonal skills and ability to communicate with all levels of faculty, staff, students, parents, and the community at-large. Frequent walking, standing, climbing stairs. Occasional lifting, pushing and pulling up to 25 pounds. Occasional exposure to weather elements when walking from building to building on campus.
