SUMMARY Performs administrative duties for the Chief Executive Officer (CEO) and other administrative staff as assigned. Responsibilities may include conducting research, preparing reports, handling information requests, coordinating projects, and performing administrative functions such as preparing correspondence and Board of Director meeting minutes, arranging meetings, manages data information process, screening and prioritizing incoming items and other administrative duties as assigned. ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following. Other duties may be assigned to meet Agency needs. Performs a variety of clerical and administrative tasks such as maintaining calendars, scheduling meetings, group rooms, and travel arrangements, word processing, compiling information, file maintenance, and general organization and filing of Agency documents. Assists the CEO/President with setting priorities and meeting deadlines, including project management, and financial/operational/administrative oversight. Organizes and prioritizes information, mail, and phone calls/messages for the CEO/President and assists CEO/President with drafting responses and replies by e-mail, letter, or phone when necessary, as well as maintain regularly occurring requests for information. Conducts research on a variety of Agency related topics and produces reports summarizing findings. Assimilates requests for information, coordinates with other units and compiles and edits information into proper format. Works independently or within a team, on nonrecurring and ongoing projects. May act as a project manager. Plans, coordinates and prepares presentations using multiple mediums and formats. Responds to routine external correspondence. Composes general correspondence, memos, minutes, charts, tables, graphs, business plans, etc. Organizes and prioritizes large volumes of information and calls. Takes messages, fields, and answers all routine and non-routine questions. Handles confidential and non-routine information and provides support to Agency Directors and CEO. This position will be familiar with and actively support 1) culturally competent, recovery-based practices; 2) person-centered planning as a shared decision-making process with the individual, who defines his/her own life goals and is assisted in developing a unique path toward those goals; and 3) a trauma informed culture to aid individuals in their recovery process. Performs job related duties as required for department/program operations. QUALIFICATIONS: To perform this job successfully, and individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: Minimum High School Diploma/GED with a combination of five (5) years relevant experience. Associates degree preferred. KNOWLEDGE, SKILLS, AND ABILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Ability to deal with problems involving several concrete variables in standardized situations. Must have advanced proficiency in Microsoft Office applications. Excellent communication and presentation skills, including strong organizational and time management skills with the ability to set priorities, manage simultaneous projects and initiatives and meet deadlines. Excellent interpersonal communication skills required. PHYSICAL DEMANDS/WORK ENVIRONMENT : The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee must occasionally carry and/or move up to 20 pounds. The noise level in the work environment is usually moderate. LOCATION: this position is based in Kalamazoo with occasional driving between the Kalamazoo and the Battle Creek office. SCHEDULE: Days Monday-Friday, Full Time/40 hours per week. Job is not 100% remote and will require office hours; however, there are opportunities for flexible, hybrid, and remote work schedule options. Status: Exempt (Salary), Full Time: $38,000 to $46,000 annual compensation, commensurate with qualifications and experience.
