Who you are: We are seeking a Payroll, HR Systems and Accounting Specialist to ensure the accuracy of all payroll-related functions, along with helping to maintain our HR system and HR vendor invoicing. The primary responsibility of the role will be to perform all functions necessary for the compliance, preparation and processing of a weekly, multi-state, multi-company payroll for 175+ employees in ADP. While this position's primary responsibilities are in payroll, this position will also be required to support accounting and HR system-related responsibilities. ABOUT OUR CLIENT: Milton's Distributing is searching for an Inventory Analyst to join our Supply Chain team. The Inventory Analyst will be the analytical engine of the Supply Chain team, and will play a critical role in the demand planning and execution of inventory purchase decisions. This position will optimize a balance of technical and analytical ability, collaboration, teamwork and communication to be a highly impactful and visible player in our operations. This role will create the supply chain analytical framework with the primary goal of driving organizational and customer value. This is a regular, full-time, exempt position eligible for full benefits. The Milton's group of companies is family owned and consists of Milton's Distributing Co., Inc.; Gordon Logistics LLC and Hope Beverage LLC. The family has been in the alcoholic beverage industry for over 85 years. Lines of business include importation and wholesale distribution of wines and spirits to high profile regional and national retailers, as well as serving as a third-party logistics provider offering warehousing, transportation and freight-forwarding services. The two businesses offer an integrated solution that reduces the cost and complexity of selling product within the three-tier system that governs the alcoholic beverage industry in the United States. WHAT YOU WILL DO: Payroll Ensures compliance to government regulations and generally-accepted payroll standards, along with ensuring effective operational processes to achieve a smooth payroll process Responsible for the processing of payroll for various legal entities including the transmission of payroll, special payments, review of uploaded hours and perform calculations, day to day system maintenance, direct deposit, and entry of employee records such as withholdings, terms/adds, and, run off cycle check runs as needed Coordinates with managers to make sure timecards for their direct reports are accurately coded and approved timely Facilitates the reporting for payroll-related audits as requested and maintains sufficient documentation to support reporting deliverables Perform year-end process to ensure timely issuance of accurate Form W-2s and to ensure setup of accurate payroll and benefit deductions the first pay period of the next year Assist employees with payroll related questions and discrepancies, and provide trainings on use of Time & Attendance Processes and responds to all garnishment withholding orders ensuring compliance with withholding instructions Responsible for calculating and processing of retroactive payments related to salary changes Maintain the integrity of payroll data and payroll records Ensure accuracy of information in payroll system as it relates to state and local tax accounts Processes off cycle and manual checks as needed to ensure timely payment of wages Improve policies and procedures to document and maintain payroll operations Balances and reconciles payroll adjustments, taxes and exceptions to employees pay data Protect confidential payroll operation information and maintain employee confidence Ensure tax accounts are kept up to date, setting up online access and closing out accounts as needed; Execute all necessary quarterly and annual payroll filings with all applicable reporting states Maintain personnel files and perform employee verifications of employment Process unemployment inquiries HR Systems Serve as the HR system administrator for ADP WFN, and ensure the integrity of the data being entered in the HR system (ADP) and supports data entry of HR transactions such as changes to titles, pay rates, departments, etc. Maintains our Time Off module in ADP and ensures employees are enrolled in the correct time off plans, that time is being accrued accurately, and that users/managers are entering/approving time as directed Responsible for report-writing including periodic management reports, as well as ad hoc reporting when needed Maintain HR tables in our system Accounting Monitors the GL interface with Accounting and troubleshoots associated issues Delivers reporting for worker's compensation audits, and follow procedures to appropriately document outputs for trend analysis Responsible for the timely processing and payment of HR and benefit invoices. Invoices are to be reconciled to ensure accuracy of payment and employee data, and then processed for payment in our invoice management system Mandatory Qualifications Education Associate's Degree is required or adequate professional experience in lieu of a degree Experience 5+ years experience processing a multi-state payroll Previous experience with ADP Payroll is required, and experience with ADP HR modules is preferred Specific skills Strong understanding of payroll concepts and processes Knowledge in setting up accounts with state and local agencies and understanding of tax fillings Demonstrated computer skills to include Microsoft office products, particularly Excel (knowledge of Pivot tables, excel formulas and able to work with large data in excel is required) and Microsoft Word. Hands-on experience with report-writing is required Excellent interpersonal skills and ability to collaborate with others
