Progressive Community Health Centers is hiring for an Administrative Assistant at our Lisbon Avenue Health Center. The Administrative Assistant provides administrative support to the Director of Human Resources and Operations, Chief Financial Officer, Clinic Manager and other members of management as may be needed. Who are we? Founded in 1999, Progressive Community Health Centers is an independent non-profit organization that operates four clinic locations in Milwaukee, Wisconsin. More than 100 employees support our agency's mission to improve the health and quality of life of the community by providing culturally competent services that address identified needs. We provide high quality, comprehensive care to roughly 16,000 patients annually, a majority of who are low-income. No one is ever turned away from our clinics based on insurance status or ability to pay. We value a patient-centered philosophy and provide range of services that include family medicine, internal medicine, women's health, urgent care, dental, radiology and integrated behavioral health. We also offer supportive services such as case management, health education and benefits enrollment. What will you do? Provide administrative support to the Director of Human Resources and Operations, Chief Financial Officer, Clinic Manager and other members of management as may be needed (aka managers). Support includes performing a wide range of administrative and office support activities for the department and/or managers, to facilitate the efficient operation of the organization. Oversees the manager's schedule to assure that both internal and external responsibilities are met and projects move forward in a timely manner, as may be directed. ESSENTIAL FUNCTIONS AND DUTIES Answer, screen and transfer inbound phone calls. Receive and direct visitors and clients. General clerical duties including photocopying, scanning, faxing and mailing. Maintain electronic and hard copy filing system, and retrieve documents from filing system as needed. Handle requests for information and data. Compose letters/responses independently and as directed by management. Research facts for answers. from the various departments, as may be needed. Prepare and modify documents including correspondence, reports, drafts, memos and emails. Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors, including researching schedules and itineraries, as well as prepare and submit check requests accordingly. Prepare agendas and meeting materials, as directed. Record, compile, transcribe and distribute minutes of meetings. EDUCATION AND EXPERIENCE: An Associate Degree or higher in Business Administration from an accredited technical school or university, or a minimum of five years administrative assistance experience preferably working under the direction of a director, department head, vice president or chief operating officer. An equivalent combination of education and experience may be substituted, depending on the level of each.
