The Operations Specialist will carry out various administrative services for assigned facilities, and will plan, organize and oversee the execution of special operational projects, events and requests. JOB DUTIES: Efficiently outlines the tasks involved in projects, reviews project requirements, identifies interdependencies with WHA departments or service providers and delegates accordingly. Conducts cost analysis, estimating expected costs for projects. Conducts thorough risk assessments; reports identified risks to management; provides recommendations for mitigation of risk (including termination of the project if appropriate). Identifies and reviews vendors or consultants to meet project needs, makes recommendations to Supervisor. Prepares project status presentations for delivery to project personnel and WHA stakeholders; Maintains project-related documentation, including contracts, invoices, project correspondence and meeting minutes, etc. Identifies project needs such as resources, staff and finances by reviewing project objectives and schedules. Handles basic issues and problems; Addresses questions, concerns, and/or complaints throughout the project, in a timely manner. Refers more complex issues to higher-level staff / Supervisor. Acts as a liaison between company, customers, vendors, architects, engineers, and consultants on behalf of the company in planning, construction, and renovation projects. Leads an interdepartmental team to complete an assigned project on time, to specifications, and with accuracy, efficiency and collaboration; Monitors project milestones and deliverables Identifies needs, makes recommendations for, and facilitates the procurement of furniture, equipment, and other goods. Coordinates and/or performs space-use analysis, inventory, and similar assessments for facilities. Collaborates with other departments and staff to draft and execute budgets for assigned projects. Coordinates and manages all aspects of assigned projects to ensure timely completion within available budget. Schedules and/ or facilitates cross-functional meetings to facilitate collaboration. Assists the COO, Director of Operations, or other leadership staff with planning functions for special projects. MINIMUM QUALIFICATIONS: Education and Experience A typical way to obtain the knowledge and abilities would be: A Bachelor' degree in Business Administration, project management or other related degree program from an accredited institution of higher education, OR Four (4) years of project management experience, or related experience; OR Any combination of higher education in business administration, project management, or a related field AND related project management or related professional experience equaling at least four (4) years. High school diploma or equivalent, required. Preferred Requirements Three (3) years of experience working in a healthcare environment, strongly preferred.
