Summary: The Event Success Manager is responsible for leading and managing events across Virtual's client base, offering strategic advice and direction on client event programs. The Event Success Manager maintains a close relationship with internal project teams and client stakeholders. Event Success Manager works closely with Account Managers and Managing Directors (internal department leaders) on each client; in addition, works with the Event Operations Director and Manager, Vice-President, Global Events, as well as other departmental staff, to help triage workflow issues and ensure the successful implementation of Virtual's client event services. The Event Success Manager will be involved in day-to-day planning of their client events, working alongside Event Operations team members. Preference for local candidates to work out of our Wakefield, MA office. Here's how you will help us do that: Oversee the delivery of events and development in accordance with client strategic plans including complex client activities and/or projects; Work closely with association personnel such as client staff, Board Members and officers; Consult with client to determine objectives and requirements for events; Overall project management and support for client events; Oversee and/or plan and manage logistics of domestic and international meetings, conferences and events, trade shows and training courses, including venue selection, food and beverage planning, A/V arrangements, and coordination with the Marketing Department of event materials and communications; Create and manage and/or oversee event budgets in concert with the Virtual Finance team, and provide expert guidance in maximizing resources; Ability to negotiate venue and hotel contracts and work with and manage outside vendors (General Service Contractors, DMC, photographers, AV directors, etc.); Oversee the teams' work with vendors and also work directly with vendors to plan catering, audio/visual, promotional items, entertainment, photography, travel, hotel accommodations, etc. to ensure high quality events that remain within budget; Oversee the set-up of online meeting registration systems as well as work with other internal teams on new registration programs; Manage meetings in collaboration with program and organizing committees to plan scope and format of events, to establish and monitor budgets, or to review administrative procedures and event progress; Manage planning and development of programs, agendas, and services according to client requirements; Oversee sponsorship and exhibitor program for events and ensure all deliverables and revenue goals are being achieved; Collaborate with Virtual Marketing and Communications team, collaborate on the development and implementation of marketing and communication initiatives; Facilitate client conference calls/face-to-face meetings; document action items and follow up on action items; Keep current about new technology designed to support the planning process and improve the event; Monitor event activities to ensure compliance with applicable regulations and laws , satisfaction of participants, and resolution of any problems that arise; Inspect event facilities to ensure that they conform to client/event requirements; Continually seek opportunities to increase customer satisfaction and deepen client relationships; Oversee the set-up of event registration systems (i.e. Cvent) Manage client portfolio MSAs with Managing Director and VP, Global Events; oversee and ensure profitability of client portfolio; Travel onsite to events as needed to manage event operations; While not directly managing individuals, lead and mentor Event Operations team members throughout the planning process; Maintain an appropriate professional and office organizational structure, foster a success-oriented, mutually respectful, accountable work environment. As our next Event Success Manager , you will bring: At least 5-8 years of experience leading both domestic and international events; Demonstrated leadership capability through Project Leadership and/or direct management of a team CMP strongly preferred; Must be a skilled project manager; able to manage multiple projects at once (as many as 5-6+ events) Proven ability to create and manage budgets; Must be detail-oriented with effective organizational and project management skills including the ability to manage multiple projects/tasks and deadlines simultaneously in a fast-paced, deadline-driven environment; Must be a self-starter with ability to coach high performance teams, demonstrate excellence in organizational management, work well under pressure, and work independently and as a strong team player with hands-on events skills; Working knowledge of latest technology designed for events; Experience managing complex AV and technology contracts; Experience managing the marketing needs of events; Ability to manage staff hours to client budgets to ensure profitability targets are met; High level of creativity and "rolled up sleeves" working style; Excellent customer-service and interpersonal skills; Strong writing and editing skills; Flexibility to work independently and as a team player; Proficiency with Word, Excel, PowerPoint and knowledgeable about Adobe and Cvent; Bachelor's degree preferred Must be willing and able to travel domestically and internationally as needed up to 35%; some travel may be "back to back" during busy season (spring/ fall months) Experience working with multiple cultures across all time zones a plus. The target hiring range for this role is $65,000 - $85,000 USD (annually). The starting base salary will be determined based on skills, experience, location, and other job-related factors.
