Unit: Programs Department: Youth Services Reports to: Senior Director, Youth Services Classifications: Exempt, F.T. (Administrative) Essential Functions: % Time Role Description 40% Managerial Duties 1. Oversight of all HMI youth development programs focused on Afterschool & Academic Enrichment, College Prep/College Access, High School Equivalency, and Job Readiness Training, including HMI's scholarship program, and weekend/summer recreational programs, utilizing HMI-approved program designs and approach to ensure seamless provision of high quality programming within the HMI Milieu-Membership model. 2. Lead the HMI collaboration with the Department of Education (DOE). Serve as primary liaison to Harvey Milk High School (HMHS) and the Pathways to Graduation (P2G) program, and other DOE affiliates, as necessary, to ensure an effective collaboration between Hetrick-Martin Institute and the NYC DOE. Including, but not limited to: a. Member of HMI/DOE Collaborative Management Team b. Oversee HMHS academic supports c. Coordinate HMI Tutoring presence in support of HMHS & P2G d. Ensure HMI staff and program schedule align to HMHS calendar and regulations 3. Ensure constant communication and collaboration between HMI and Harvey Milk High School in support of student success and linkage to services. 4. Work with other Program Managers and Assistant Directors to ensure effective ongoing collaboration to integrate Arts & Culture programs and Health & Wellness programs with Academic Enrichment and Job Readiness tracks, in order to achieve grant-specific program outcomes. 5. Supervisory - Manage the orientation, supervision and training of program staff, interns and volunteers, including individual and group supervision, time sheets, and staff training and development as needed. 6. Collaboration a. Work with the team and Senior Director of Youth services to resolve any programmatic, fiscal or technical challenges b. Maintain strong interdepartmental communications, including strong working relationships with other program managers, to ensure that the needs of all HMI members are met. c. Partner with Development department to maintain strong linkages with individual, institutional, corporate and volunteer partners. d. Develop and maintain strong linkages with community-based organizations and arts organizations, businesses, and linkage agencies in support of achieving overall program goals. 7. Operational a. Assist the Senior Director of the Youth Services Department with the successful day-to-day operations of Youth Services programming; provide program and staff scheduling information regularly, assign staff duties, and serve as Admin On-Call weekly or additionally as required by agency needs. b. Address programmatic risk management or other time sensitive/pressing issues, assess situations and determine appropriate course of action in conjunction with other HMI management staff, Harvey Milk High School (HMHS) administrators, and School Safety agents. c. Select, schedule and supervise individual, group and special events such as art shows, themed events, workshops, etc. including event planning for monthly Member Thursday events, graduation ceremonies, award ceremonies and other HMI youth special events, in collaboration with Director of Community Engagement and Program Operations. 8. Outreach - Ensure sufficient and targeted outreach activities are planned and undertaken by staff to meet the attendance requirements of specific funding streams, including activities to augment, extend and amplify existing HMI outreach strategies. 9. Program Monitoring and Evaluation a. Provide monitoring and oversight for purposes of quality care and compliance. b. Assist in the creation of effective and targeted evaluation and client satisfaction tools to evaluate success of program design in achieving program outcomes and overall agency mission. c. Assist with the provision of program design, monitoring, and evaluation description for applicable new or renewal grant applications. 10. Participate in Development and fundraising activities as assigned. 11. Other duties as assigned. 30% Programmatic Direct Service 1. Responsible for the oversight and supervision of HMI Youth Services Programs during Administrator on Call [AOC] duties (schedule TBD) . 2. Assist in the facilitation and coordination of groups, activities, events and other programing. 3. Work closely with other HMI departments and staff to support ongoing programs and services. Outreach and engage youth during Program Common Hours (3:15pm - 7:15pm). Prepare for and facilitate weekly group-based activities for general programming. Assist in the facilitation of Health & Wellness groups and programming. Perform general staff duties, such as Café duty, train-pass, general event set-up/breakdown, etc. Participate and assist with general HMI agency-wide events within and outside of HMI. 25% Administrative Duties 1. Supervise and monitor contractual staff as it pertains to various funding streams. 2. Utilize preexisting systems for budgeting and the collection of data required for contractual and evaluation purposes. Responsible for contractual reports as necessary to remain in compliance with funders. Assist in Budget Management for assigned contract(s). 3. Track youth member enrollment/activities and contractual requirements, and prepare reports and paperwork requested as needed by agency or funders. Maintain client level data, including Case Notes and electronic referral logs in Salesforce. Maintain group level documentation, including attendance records and session summaries. Document, code and enter data for program analysis. Submit all necessary documentation to Data Coordinator(s). 5% Travel Travel specific to job deliverables and professional development is considered an incentive. Approximately 5% of staff work time may be dedicated to: Enhance or develop job related skills. Present at local, regional or national conferences on behalf of HMI. Accepting awards and recognition on behalf of HMI. As needed Other duties as assigned by supervisor. Knowledge, Skills and Abilities Required: Masters degree in education or education administration, public health or public administration, social work, psychology, or other related human services field. Specific experience in working with NYC-DOE or equivalent public school system preferred. 3 years supervisory and management experience. At least two years' experience with diverse population of adolescents in an urban setting, including experience working with lesbian, gay, bisexual and questioning youth from various cultures and backgrounds, transgender and gender diverse youth. Experience facilitating group discussions and managing a variety of small and large group dynamics. Experience planning and implementing health-specific programs. Excellent verbal and written communication skills, including conflict mediation and public speaking. Knowledge of harm reduction practices, trauma-informed care, and positive youth development models. Program design and evaluation experience. Excellent organizational skills. Ability to exercise independent judgment when appropriate; strong decision-making skills. Computer Skills: Strong with proficiency in Microsoft Word, Excel, PowerPoint and Outlook. Additional Desirable Qualifications: Extensive knowledge of one or all of the following youth development issues: workforce development, literacy and adult basic education, evaluation of afterschool programs. Bi-lingual (Spanish-English) skills. Working Conditions: Work primarily in 2 Astor Place, NYC, except for Outreach work. Work schedule: Monday - Friday , 10:00 am to 6:00 pm or 12:00 pm to 8:00 pm; flexibility required at times to support agency needs. Job Posted by ApplicantPro
