Position Summary: The Payroll & Office Administrator provides administrative support to the Company and is responsible for maintaining all aspects of daily office operations. This individual will also be responsible for the coordination of bi-weekly payroll for the Dürr Universal Team. The individual in this role will assist in the implementation of payroll policies and programs. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and uphold confidentiality rules. Overview of Essential Duties / Functions: Updates payroll records by entering changes into the B2E Solutions Payroll System. These updates include items such as insurance deductions, employee bank change information, garnishments, pay changes, 401k deferral changes, as well as job title changes. Prepares payroll-related reports and payroll journal entries as needed for Finance Team. Verifies payments and reports are made timely and accurately by payroll vendor including federal and state income, social security, garnishments, and unemployment taxes. Assists in the preparation of yearly W-2's and other tax filing, as assigned, related to payroll and benefits. Resolves payroll discrepancies in a timely manner. Answers employee questions regarding payroll and benefit deductions. Ensures compliance with applicable government agencies and regulations. Enforces related policies and procedures, as well as other general Human Resources Guidelines. Assists with the preparing of outgoing mail, gathers incoming mail. This includes arrangements for local, express, and international deliveries using FedEx & UPS Systems. Performs office administrative duties including but not limited to ordering office supplies and other supplies/services such as company apparel, business cards and new hire name plates. Manages fleet operations such as controlling service schedules of company vehicle and other regular maintenance. Also ensures accurate driver information and recordkeeping. Maintains confidential department files to include employment, unemployment, compensation, and benefits records. Helps organize company meetings and events with support from the Stoughton Engagement Team. Updates internal company phone directory and office floor plan documents as needed. Coordinates internal reservation system for company vehicles, meeting rooms, equipment, and related items. Assists with new employee orientations. May aid in company records retention management. Supports Senior Leadership Team with miscellaneous projects and duties. Other duties as assigned. Well-qualified applicants will have the following preferred experiences and skills: Education / Experience: Associate degree or equivalent degree in related field. 3-5 years related experience in Payroll, Benefits, and Federal & State leave programs. 3-5 years of experience working with Cloud Based HRMS/Payroll systems, a must. Requires a strong knowledge in Microsoft Office applications, including Excel, Outlook, Word, and PowerPoint Intermediate understanding of Federal, State, and local employment law, payroll, and tax law. Ability to read and understand documents such as compensation, benefits, timecards, and policies. Ability to create and revise spreadsheets and reports, enter and edit program data, and use other software to record, analyze, and summarize data. Professional experience working with Finance, Accounting, Human Resources, and Leadership Staff. Experience with Administrative Support tasks. Personal Characteristics: Demonstrated ability to maintain confidential information with discretion, and ability to maintain professionalism in diverse circumstances. Excellent judgment skills and dependability, ability to multitask, prioritize and perform duties in a timely manner. Excellent verbal and written communicator who projects a professional image. Demonstrated analytical and critical thinking skills; ability to work independently. Organized, accurate and attention to detail, a must. Ability to plan, establish and prioritize varied and complex tasks. Physical Requirements Ability to move about inside the office to access file cabinets, office equipment, etc. Proficiently operates a computer and other office equipment such as a, copy machine, calculator, etc. Must be able to remain in a stationary position 60% of the workday.
