We are seeking a Project Administrative Assistant for our Grand Rapids, MI region. As a Project Administrative Assistant, you will provide support to project administration and project management. Responsibilities of this role includes typing reports; copying, collating, and binding; filing; reviewing invoices; data entry; process incoming/outgoing mail; maintain orderly and complete documents and project files; and other administrative tasks. Essential Job Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. 1. Produce Project Documents Create, edit, format, and update project documents from project team members as required. Copy, collate, and bind project documents and reports following templates and standards. Arrange for outside reproduction services when necessary. Draft business letters for review and approval by project team members. Proofread final products to verify professional impact including correct spelling, punctuation, and grammar. Project Photo Documentation. 2. Organize Project Documents Create and maintain filing system, manuals, project directory, and document tracking. Maintain project bidders' list, distribute construction documents, hold deposits, and retrieve information. Draft subcontract Supplement A and vendor agreements. Receive and track project start-up and close-out documents. Distribute bulletins to trade contractors, collect quotes and provide information to Project Manager and/or Project Engineer as required. Post daily reports in database required and prepare for electronic distribution. Assist with subcontractor compliance. 3. Manage Project Office & Office Communication Submit required reports. Receive, review, and forward vendor invoices and payments. Assist team members with specific needs as required on a project-by-project basis. Post and maintain signage and required documents in project site offices. Coordinate check requests as needed for items such as building permits. 4. Manage Postal Deliveries Receive, screen, and distribute incoming correspondence. Coordinate mail exchange with local Christman project office. Prepare and send outgoing mail and parcels. 5. Greet Callers and Visitors Answer telephone calls and assist callers or route to appropriate team members. Greet visitors and provide assistance or direct to appropriate team member. Be a friendly face and voice to portray the image the company takes pride in. Assist with visitor sign-in documentation. 6. Coordinate Conferences Schedule meetings. Arrange conference rooms, conference calls, and schedule web collaboration meetings. Order lunch and setup as necessary. 7. Manage Administrative Inventory Procure administrative supplies, equipment, and safety supplies for project site. Control petty cash. 8. Assist with Project Safety Maintains administrative and general office supplies and equipment for regional office. Ensures office is stocked with safety supplies. Responsible for petty cash handling and balancing. Assist with safety orientation process. Minimum two (2) years' experience in related job field. -or- Equivalent combination of the above education, training, and experience. Preferred Education and Experience Associate's Degree in Business Management or related field. Previous construction administration experience. Additional Eligibility Qualifications Ability to analyze and revise operating practices to improve efficiency. Detail oriented and comfortable working in a fast-paced office environment. Excellent communication and organizational skills. Dedication to completing projects in a timely manner. Ability to work with and maintain confidential information. Promotes teamwork within the department and externally by having a positive and cooperative attitude and willingness to take on additional duties as directed.
