Medical Office Assistant Dept./Program: Primary Care Division: Health Systems Reports To: Primary Care Director Employment Status: Full Time FLSA Status: Non-Exempt Schedule: 40 hours/week Preference: TERO Ordinance 2017-01, P.L. 93-638 Job Summary The Medical Office Assistant is responsible for clerical, technical, and receptionist functions supporting the medical staff. This position helps the facility to stay organized and coordinate communication between patients (un'inas), medical staff, and other departments. The Medical Office Assistant will maintain a good relationship with visitors and staff while preserving confidentiality of information. The Assistant also participates in the coordination of activities and schedules in the medical department. Essential Functions Coordinates activities within the medical department including scheduling interviews and assists with staffing as directed. Submits purchase orders and organizes equipment needed for meetings, events or special projects. Assists with clerical activities including completing forms, entering data, and collecting information. Schedules follow-up appointments as directed by care team. Builds provider schedules in DWC electronic health record system. Schedules follow-up appointments as directed by care team. Provides clerical support to the following departments: primary care, laboratory, imaging and pharmacy. Assist the Health System Administrator with special projects or assignments. Maintains the faxage system for the wellness center. Requests records from other medical providers and/or facilities. Scans information into un'ina's charts received and reviews for accuracy. Ensures scanned documents from others are correct and provides feedback to appropriate staff. If the use of arm and/or leg control requires exertion of forces greater than that of sedentary work and if the worker sits most of the time, the job is considered light work. Drives KIT or Personal Vehicle: Personal Travel Local Comments: Travel may be required for training Qualifications Education GED or high school diploma. Experience One year experience working in a medical office. Three years' experience working in an office setting with increased responsibility. License/Certification Valid Alaska driver license and must remain insurable under the Tribe's policy. Special Skills Detail oriented, interpersonal skills, problem-solving skills and technical skills. Understand HIPAA and other regulations that must be followed. Organize varied tasks. Communicate clearly and effectively with other health professionals. Have working knowledge of Microsoft programs. Experience working with Alaska Native or American Indian population.
