Stanford University – Faculty Affairs / Office of the Provost Seeking a temporary Administrative Associate to provide administrative or operational support working under general supervision. The job assignment will be approximately three months long and at a full-time status, ideally starting as soon as possible. The assignment will be during normal business hours 8:30am-5:30pm. PRIMARY DUTIES (additional duties as needed): • Creation of reports and lists; • Assistance with updating web sites and data systems, including (non-technical) systems testing; • Scanning and archiving of faculty files and correspondence; • Drafting and/or generating correspondence; coordinating production (formatting, copying, proofreading and fact checking) and dissemination of documents; • Assisting with scheduling and organizing meetings; • Helping to maintain office supplies and equipment; • Responding to occasional phone and email inquiries; • Deliveries around campus as needed. MINIMUM REQUIREMENTS: Education & Experience: High school diploma and three years of administrative experience, or combination of education and relevant experience. KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED): • Demonstrated experience working with diverse groups of people; flexible and adaptable to evolving situations • Experience working with web based tools/data systems • Excellent judgment when handling sensitive and confidential information (confidentiality waiver will be required) • Proficient computer skills and demonstrated experience with office software and email applications including Microsoft Word and Excel • Demonstrated success in following through and completing routine tasks • Strong organizational skills and attention to detail • Strong verbal and written communication skills • Excellent customer service and interpersonal skills • Ability to prioritize and multi-task PHYSICAL REQUIREMENTS*: • Constantly perform desk-based computer tasks. • Frequently sitting. • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds. • Rarely twist/bend/stoop/squat, kneel/crawl. * - Consistent with its obligations under the law, the University will provide reasonable accommodation to any employee with a disability who requires accommodation to perform the essential functions of his or her job.
