Service Writer, Clerical, Heavy Construction Equipment
SKILLS/KNOWLEDGE The individual in this position applies basic skills and procedures appropriate for the position within assigned, functional area. Duties and tasks are varied. Works on assignments that are semi-routine in nature where expertise to recognize deviation from accepted practice is required. Mechanical experience is helpful but not mandatory. Must be proficient with Office software, Outlook, Ms excel, Microsoft word. DUTIES & TASKS WORK ORDER ADMINISTRATION 1. Processing paperwork from In-Box daily:• Job Jackets• Notes• Invoices• Parts returns2. Prepping work orders:• Coding vendor invoices in a timely manner for the accounting department• Keying vendor invoices into internal and external work orders• Interpreting and entering mechanic notes daily for field jobs & shop when needed• Summarize mechanic notes for customer invoice (cause, complaint, correction)• Ensure labor notes, etc. are correct from the labor sheets• Deduct parts returns from open work orders as submitted to maintain accurate inventory.• Code and submit expense reports for employee reimbursement. Post to work orders• Obtain Purchase Orders for customer billing on jobs where 1 is required.• Invoice work orders & mail to customers OTHER SERVICE ADMINISTRATION • Issue customer credits when necessary• Other activities as directed by the Shop and Field Supervisors with any needs they have, parts transfers, etc.• Maintain the WIP Report• Open, process and close work orders and invoice customers.• Work with Svc Manager to keep work flowing and customers apprised of progress. MISCELLANEOUS • Answer and direct incoming service related phone calls to appropriate personal • Distribute service mail daily POSITION RESPONSIBILITIES • Must be able to pass a post job offer drug screen & physical• This job requires that the candidate must have a satisfactory experience investigation prior to accepting the position Proficient use of basic office equipment, including PC's, business ERP's, Network Applications and Internet based Business portals This position regularly requires the employee to sit Expertise to occasionally lift up to 60 pounds.
