The Role We are seeking a detail-oriented Senior Legal Billing Specialist who excels in dynamic, high-level professional communication, demonstrates an acute attention to detail, and possesses a proven track record of identifying errors and refining systems. The ideal candidate will have strong mathematical skills, exceptional communication capabilities, and the ability to efficiently navigate and reconcile various stakeholder interests. Your attention to detail is paramount. Responsibilities:• Client Onboarding and Billing: Manage invoicing for over 300 clients bi-monthly and onboarding 5-10 new clients weekly through a 30-minute billing introduction meeting designed to build rapport and maximize collection rates throughout the case lifecycle.• Invoice Management: Review and validate invoice calculations for accuracy and compliance with firm standards. Generate precise draft invoices and manage all related communications, including archiving automated invoice emails.• Automation Oversight: Work closely with our in-house software engineer to identify needs for new automation, enhancements, or fixes within the billing processes to maintain and improve system efficiency.• Dispute Resolution: Address client concerns regarding itemized invoices in a manner that preserves trust and maximizes collection rates.• Cross-Department Coordination: Ensure billing practices are aligned with firm-wide procedures and effectively communicate these across departments.• Performance Metrics : Develop and monitor meaningful Key Performance Indicators (KPIs) for the billing department.• Client Account Oversight: Manage client accounts to ensure correct application of expenses and timely review of transactions.• Professional Reliability : Maintain clear and consistent communication about availability and office presence to uphold departmental and firm standards. Qualifications:• Proven experience in billing management, preferably in a legal environment.• Robust mathematical and problem-solving skills.• Exceptional communication skills and emotional intelligence.• Ability to manage stress and negotiate effectively among diverse stakeholder interests.• Proficiency in billing software and financial management tools.• Strong organizational skills.
