Senior Lease Administrator
Thisrole has been created for a dedicated Senior Lease Administration Analyst forour client, Wayfair, Inc. Wayfair is a fast-growing and dynamicAmerican e-commerce company that sells home goods. This role requires any applicant to splittheir time between Wayfair and CBRE's offices in Boston, MA. Under limited supervision, upholds the integrity of realestate portfolio data for large, complex portfolio of clients. Inputs,maintains, organizes and reports on details regarding lease dates, dollarvalues and financial accounting transactions into a lease management softwaredatabase. Prepares, processes and reconciles AR & AP transactions to ensureaccurate and current lease details is maintained. Acts as lead for leaseadministration team. ESSENTIAL DUTIES AND RESPONSIBILITIES Directly responsible for the delivery of lease administration services toclients on a day to day basis.Prepares lease abstracts and edits them for accuracy. Writes narratives formonthly variance reports, providing analysis and interpretation of leasedetails to clients.Tracks payables and receivables associated with the leases in portfolio.Processes client rent rolls utilizing the database. Prepares export files andsends to accounting for payables processing.Prepares invoices for subtenants, reconciles subtenant accounts, reviewsincoming invoices for errors/accuracy with lease document and ensures correctcoding and move out coordination.Prepares and distributes periodic and ad hoc reports in a timely, accuratemanner. Designs reports utilizing various report writers including, variouslease admin systems, Ms excel, Microsoft word, and/or Access. Reviews standard reportsprepared by teammates for accuracy.Prepares and distributes critical date reports; works with client andtransaction team directly to manage critical dates.Performs annual operating expense and real estate tax reconciliations, monitorsaudit windows and audit requirements contained in the lease documents.Resolves critical issues for clients by researching andgathering details about payment transactions, lease terms and otherrelevant items. Establishes and maintains working relationship with clients andlandlords.Creates and maintains client lease files ensuring they contain current,accurate info.Ensures data integrity and accuracy by performing quality control review ofwork completed by teammates.Assist in the processing of newly executed leasedocuments. Communicate changes in theportfolio to various client business units.Managing/tracking security deposits and letters ofcredit.May provide and/or assist with budgeting and forecasting activities.Performs other duties as assigned.SUPERVISORY RESPONSIBILITIES No formal supervisory responsibilities in this position. Provides informalassistance such as technical guidance, and/or training to coworkers. Strong organizational andissue solving skills. Expertise to provide efficient, timely, reliable and courteousservice to customers. Expertise to effectively present info.FINANCIAL KNOWLEDGE Requires in-depth knowledge of financial terms and principles. Expertise tocalculate complex figures and conduct financial/business analysis including thepreparation of reports.REASONING EXPERTISE Ability to comprehend, analyze, and interpret documents. Expertise to solveproblems involving several options in situations. Requires intermediateanalytical and quantitative skills.OTHER SKILLS and ABILITIES Intermediate knowledge of computer software and hardware (i.e. Microsoft office suiteSuite Products).
