Position Summary : The Records and Reporting Specialist primarily handles and assists with the internal and external data gathering and reporting duties of the Registrar's Office and manages the articulation agreements with ODU's partnering community colleges and other associated initiatives. In addition, this position assists with the office's various data entry/data adjustments and manages multiple areas to include, but not limited to, grading process, waitlists, no shows, graduation process, and work-study hiring/supervising. A successful candidate must be extremely detail oriented and have strong problem solving and technical skills, to include advanced experience with Excel, a working knowledge of SIS file structure and experience writing data queries, in conjunction with working experience in a university registrar's office. Essential Job Duties & Responsibilities : Create and publish data reports for chairs, program directors, administrative staff, and other academic offices. In addition to report requests from external partners. Create and submit National Student Clearinghouse files on a monthly basis and monitor all submissions to ensure compliance with NSLDS requirements. Manage, review, and maintain the articulated course-by-course equivalencies and agreements with partnering community colleges, plus other associated initiatives. Manage Degree Audit programming. Assist with Count Day, the universities head count report distributed three times a year. Hire and supervise the Registrar's Office work-study student. Manage waitlists and no show reporting. Manage grading processes including missing grades, grade changes, incomplete grades, etc. Manage applications for graduation, commencement ceremony RSVPs, and master graduation list. Work closely with the web designer and other staff members to ensure the Registrar's Office internet and intranet presence is accurate; including the graduation website, commencement RSVP, ODU Online, myODU, forms, etc. Assist with the data entry of the master schedule. Assist with NCAA Division II Compliance Assistance data entry. Create and submit the Transferology data file twice a year. Manage active student file rotation. Manage records storage and destruction per established records maintenance guidelines. Assist with graduation and freshman registration events. Provide an extra line of support to Registrar's Office colleagues to meet project deadlines and serve students as needed. Attend meetings, campus events, and training as needed. Qualifications : Bachelor's Degree. Minimum of two years of prior experience in an education environment, preferably in a Registrar or Records Office. Experience with Colleague integrated student information system or similar SIS. Demonstrated ability to use a variety of software systems, including but not limited to: exceptional knowledge of Microsoft Office with advanced experience with Excel. Working knowledge of SIS file structure and experience writing data queries. Preferred skills include using Uniquery, SQL, Informer, etc. Committed to working with diverse student and campus populations and to "student centered" services. Excellent verbal and written communication skills. Ability to work independently and with a team on multiple tasks with a high degree of accuracy. Ability to problem-solve, prioritize tasks, and meet deadlines. Working knowledge of FERPA regulations.
