JOB PROFILE – PROPERTY ADMINISTRATOR Ensure organizational excellence at the Property by providing administrative support to the General Manager and Property Team. Oversee 2 Tenant Service Representatives and ist various key Teammates to help maximize JLL's mission to operate a Class "A" et including the various operational and projects to support its mission and commitment to ownership. The successful applicant will join a Property Management Office team in a New York City major office Building having a nearly 100% occupancy. The following provide an overview of the Property Administrator's profile. The intention is to provide a general overview understanding not every detail can be covered due to the multi-faceted needs that surface in a fast-paced service driven environment. KEY FUNCTIONS ADMINISTRATIVE ist General Manager Oversee 2 Tenant Service Representatives. Oversee that Tenant Work Orders are closed in a timely manner with updates provided as required ist the istant General Manager ist Director of Financials with tasks such as but not limited to accounts payable, distribution of payments to service providers and filing of records for said payments, Audits, Answering telephones and greeting visitors ist with filing and maintaining files in an organized manner Organize, compile and prepare Operational Reports for distribution Maintain and update employee, client and customer contract data bases Enforce compliance with insurance qualifications among tenants Develop, revise and coordinate implementation of Tenant Manual Other duties as may be igned or requested by the General or istant General Manager falling within the reasonable expectations of an administrative position at a real estate services office. Note: This item falls within each Category listed or not listed within this Job Profile FINANCIAL Process A/P Obtain completed W-9's from all service vendors ist team with budget preparation ist with and or perform new service vendor set up ist with preparation and distribution of various monthly and or periodic reports Prepare bill-back fees for rent bills for completed additional services Responsible for invoicing tenants for any damage which they are directly responsible for Ensures invoices are reviewed and prepared for General Manager's review in a timely manner following the Property's established practices and policies Ensure that Service Provider Account statements are given a detailed and thorough review for the General Manager following the Property's established practices and policies in order to ensure that the Property and Ownership are not adversely exposed to financial oversight CLIENT SERVICES ist with maintaining the day-to-day relationships with tenant contacts Prepare tenant communications as directed Liaison between tenants and all building staff/teammates Spot check of open and completed Work Orders to ensure Quality Control is maintained OPERATIONS Be part of Construction / Special Project meetings when requested by the istant or General Manager ist the Property Team with various Emergency Response Plans, procedures and life safety drills including the updating, posting and distribution of all related Organizational Charts Prepare draft Contracts and Amendments to same when requested by the istant or General Manager ist in the Quarterly table top discussions with Property Teammates ist the General Manager with periodic Property Inspections and the generation of the action reports for each inspection as well as following up on each to ensure all noted items were properly addressed. Handle any tenant issues regarding maintenance and or service requests quickly and keeping the istant General Manager and General Manager informed when appropriate KNOWLEDGE, SKILLS AND ABILITIES Strong oral and written communications Strong management expertise Strong attention to detail Strong expertise to self-start and work without direct supervision Strong expertise to multitask and work without direct supervision Provide constructive and value add solutions to issues Expertise to work efficiently individually or as part of a team Expertise to type min 65 wpm with 90% accuracy Expertise to maintain professionalism at all times under stressful situations Expertise to learn quickly, open to change and enjoy the challenge of unfamiliar tasks Expertise to plan and manage work under time constraints Expertise to adapt to change in practices and policies Proficient in Ms office/Suite (Microsoft excel, Microsoft word, PowerPoint, and Outlook) Capable of developing proficiency in Yardi and other PM standard software Expertise to work adjustable hours that on occasion which may exceed eight hours per day, five days per week, 40 hours per week PHYSICAL WORK QUALIFICATIONS / CONDITIONS Regularly sitting for long periods of time – desk work Frequently required to stand, sit, walk, reach with hands, arms, stoop, kneel, crawl or crouch Expertise to ready video display terminal Use of stairwells during periodic inspections and emergencies Use of keyboards for typing and data entry Use of portable radio to communicate with various Property Teammates Hearing, speaking, and answering the office telephone system EDUCATION AND BACKGROUND High-school diploma 2yrs in Real Estate Management preferred JLL Is an Equal Opportunity Employer JLL is committed to developing and maintaining a diverse workforce.
