We are currently seeking a skilled and experienced Workflow Coordinator to join our team! Position Summary: We are seeking a detail-oriented Project Scheduler and Workflow Coordinator to manage job scheduling, monitor the progress of work, and maintain communication between teams. This role is essential in ensuring efficient job execution, tracking project status within Aspire Software, and providing weekly performance updates. The ideal candidate will have excellent organizational skills, a proactive attitude, and preferred experience in project management or operations. Key Responsibilities: Job scheduling, plan and coordinate daily and weekly schedules for crews based on project timelines, resource availability, and priorities. Workflow Management, oversee the workflow of projects within Aspire software, ensuring all jobs are accurately tracked and updated as they progress. Performance Monitoring, compare actual crew performance against job estimates and bid details, identifying discrepancies and opportunities for improvement. Weekly Updates, provide weekly reports on crew performance, highlighting progress against bids, any job delays, and overall job status. Communication, act as a liaison between management, crews, and other departments to ensure clear communication and seamless operations. Problem solving, address and scheduling conflicts or delays that may arise and provide timely solutions to keep projects on track. Continuous Improvement, identify areas to streamline processes and improve crew efficiency based on performance data. Qualifications: Previous experience in project scheduling, operations, or workflow management preferred. Familiarity with Aspire software or similar job management is preferred. Strong organizational skills and attention to detail. Excellent communication skills, both written and verbal. Ability to multitask and prioritize in a fast paced environment. Problem solving skills and a proactive attitude. Experience in the construction, landscaping, or service industries a plus.
