Responsibilities:• Manage and oversee client files to ensure accuracy and completeness of documentation, including facilitating the onboarding process for new clients.• Assist attorneys in preparing for consultations and client meetings.• Complete court forms, handle mailings, and file necessary documents for cases.• Communicate with clients both in person and over the phone, addressing inquiries and providing regular updates on case progress.• Execute administrative duties such as data entry, filing, and maintaining records while meeting all filing deadlines.• Update and maintain the firm's case management system with precise and current information.• Uphold strict client confidentiality guidelines and safeguard sensitive information.• Collaborate efficiently with attorneys, fellow legal assistants, and support staff to ensure smooth workflow.• Engage in continuous professional development activities to enhance knowledge and skills in estate planning law.• Provide necessary administrative support to contribute to the overall efficiency of the firm. Qualifications:• Previous experience working as a legal assistant or paralegal, with a preference for experience in probate or trust administration or a related practice area in Ventura, CA, US.• Proficient in conducting legal research, drafting documents, and utilizing case management software in the context of estate planning law.• Strong focus on detail and exceptional organizational abilities to handle multiple tasks and meet deadlines effectively.• Excellent written and verbal communication skills to interact with clients and team members professionally.• Competency in using Microsoft Office Suite (Word, Excel, Outlook) and legal research databases.• Familiarity with estate planning terminology, procedures, and regulations is considered advantageous.• Understanding of the importance of client confidentiality and adherence to ethical standards in the legal profession.• Team-oriented mindset with proactive problem-solving skills and a collaborative approach to work.• Professional conduct and strong interpersonal skills to contribute positively to the workplace environment.
