CUSTOM AIR INVENTORY & PARTS MANAGEMENT SPECIALIST POSITION SUMMARY: The Inventory and Parts Management Specialist is responsible for overseeing the procurement, organization, and distribution of parts and inventory essential to the operation. This role involves creating purchase orders, managing stock levels, coordinating service parts, and ensuring efficient restocking for technicians. The specialist will monitor inventory data within the Sampro system, physically manage stock transfers, and maintain accurate records. Key tasks include receiving and verifying incoming parts, processing vendor invoices, managing warranty claims, and setting up new hires with necessary inventory. The position requires a high level of organization, attention to detail, and communication to ensure the availability and proper allocation of inventory across multiple departments. ESSENTIAL DUTIES & RESPONSIBILITIES: Inventory and Parts Procurement Create purchase orders and order parts to maintain inventory levels. Order necessary service parts and supplies as required for work orders. Receiving and Documentation Receive parts for work orders, checking for accuracy and quality. Process inventory receipts, ensuring proper storage and organization. Verify and process vendor invoices, ensuring price accuracy. Credit Card and Financial Reporting Manage service-related credit card reports, tracking and reconciling expenses. Returns Management Coordinate and process parts returns, handling logistics and documentation. Van Stock Management Restock van inventory for 30+ technicians, moving inventory physically and updating stock levels in Sampro. Check in van stock upon technician departure, updating physical inventory and Sampro records. New Hire Inventory Setup Coordinate with new hires to ensure they have all necessary inventory and tools. Daily Operations and Record Keeping Monitor daily sign-in/out sheets, ensuring accurate record transfers in Sampro. Generate new part numbers as needed and create barcode labels for inventory tracking. Perform daily inventory checks to maintain stock accuracy and organization. Move items from Fastenal Machines to work order numbers for tracking. Warranty and Claims Processing Track warranty parts for vendor returns. Process warranty claims per vendor guidelines, issuing purchase orders for tracking and credits follow-up. REQUIRED POSITION KNOWLEDGE, SKILLS AND ABILITIES: Strong organizational and time-management skills. Familiarity with inventory management systems (Sampro preferred). Detail-oriented with a focus on accuracy in receiving, stocking, and documentation. Ability to coordinate effectively with technicians and vendors. Basic accounting knowledge for invoice verification and credit card report management. This role requires a proactive approach to inventory control, coordination with multiple teams, and ensuring the smooth flow of parts and inventory for the organization. PAY RANGE : $25.00 - $28.00 / hourly HOURS : M-F 7:30am-4:30pm, Gahanna office Powered by JazzHR
