Chief of staff, Financial reporting Overview The Chief of Staff of Financial Reporting will directly support the Senior Vice President of Finance and Financial Reporting team by providing a broad range of administrative tasks with a high level of professionalism and in a manner that reflects positively on the team and organization. Job Details Provide a wide range of complex office administration and support to the Senior Vice President of Finance and the Financial reporting team members. Develop, implement and administer department office system and procedures. Use multiple technical applications including Word, Excel, and Adobe to support the needs of the team. Creates and maintains various financial filing system(s). Including paper and electronic files. Copy and bind financial reports. Manage incoming mail and outgoing mail of the team. Completes expense reports and other paperwork on behalf of the Senior Vice President of Finance and other members of the Financial Reporting team. Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff. Welcome the team's guests by greeting them, in person or on the phone, answering or directing inquiries. Conserve the team's time by reading, researching, collecting and analyzing information as needed. Organize team communications and correspondence, and plan events, both internally and externally. Purchase and maintain inventory of supplies for the Carmel office. Assist with office maintenance as needed including providing support for: break room, copier, and IT equipment as assigned. Complete additional projects and tasks as assigned to support the Financial Reporting team. Job Requirements Required Advanced proficiency in Microsoft Office Excellent written and verbal communication skills. Excellent organizational skills including ability to prioritize and coordinate multiple tasks. Pro-active and highly resourceful with a strong attention to detail. Excellent written and verbal communication skills. Ability to function well in a high paced environment. High ethical standards to ensure confidential information is handled with a high level of confidentiality and discretion. Service focus to meet the expectations of the team by maintaining effective relationships with the Financial Reporting team Ability to understand the business preferences and priorities of your team members to best support them Flexible hours as dictated by the needs of the team for deadlines, projects and meetings. 1-2 years' experience in an administrative role in an office environment.
