Job Title: Assistant Event Coordinator Location: New York, NY Employment Type: Full-time Reports To: Senior Event Coordinator / Event Manager Job Summary: We are seeking a dynamic and organized Assistant Event Coordinator to join our events team. The ideal candidate will assist in planning, organizing, and executing a variety of events, including corporate gatherings, weddings, fundraisers, and other special occasions. The role requires excellent communication skills, attention to detail, and a passion for delivering memorable experiences. Key Responsibilities: Event Planning Support: Assist the Senior Event Coordinator in creating detailed event plans, timelines, and budgets. Coordinate with vendors, venues, and clients to ensure all event details are accurate and meet expectations. Support in developing event themes, décor ideas, and layout plans. Vendor & Client Coordination: Communicate with vendors to confirm bookings, manage schedules, and handle logistics. Liaise with clients to gather event requirements and ensure their vision is accurately represented. Assist in managing contracts, deposits, and invoices with suppliers and service providers. On-site Event Assistance: Provide on-site support during events, including setting up decorations, managing registrations, and handling attendee inquiries. Oversee the event schedule and troubleshoot any issues that arise to ensure smooth execution. Assist with post-event breakdown and cleanup, ensuring all rented items are returned and venues are left in good condition. Marketing & Promotion: Assist in promoting events through social media, email campaigns, and other marketing channels. Help create event materials such as flyers, invitations, and promotional content. Administrative Duties: Maintain event records, contact lists, and other administrative documents. Prepare event reports and feedback summaries for evaluation and future improvements. Qualifications: Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office and event management software (e.g., Eventbrite, Cvent, or similar tools).
