Position: Administrative Assistant Job Summary: The Administrative Assistant plays a crucial role in providing essential office services by ensuring seamless administrative operations, implementing policies and procedures, and assisting office personnel and Assisted Living Housing Directors. This position is responsible for various clerical tasks, including billing, accounts receivable, accounts payable, and payroll management. Job Qualifications: Associates Degree or higher level of education in fields such as Administrative Assistant, Office Management, Business Management, or Human Resources. Proficiency in computer skills, including laptop use. Knowledge and experience with Microsoft Office programs. Familiarity with general office policies, procedures, and methods. Excellent written and verbal communication skills. Ability to work effectively with minimal supervision and lead a team to accomplish tasks. Proactive attitude with a focus on creating a positive experience for others. Anticipate the needs of others to ensure a seamless and positive experience. Able to meet the physical demands of the position. Hours of Work: Full-Time Position. The role may require working on weekends and holidays as needed. Duties: Administrative Support: Handle various office tasks, including filing, generating reports, preparing presentations, setting up meetings, and maintaining office supplies. Provide real-time scheduling support by booking appointments and resolving scheduling conflicts. Make travel arrangements, including booking flights, cars, hotels, and restaurant reservations. Screen phone calls and route callers to the appropriate parties. Utilize computers for report generation, meeting minute transcription, presentation creation, and research. Greet and assist visitors in a courteous and professional manner. Maintain polite and professional communication via phone, email, and mail. Maintain contact lists and manage correspondence, memos, letters, faxes, and forms. Office Operations: Develop and maintain an efficient filing system. Order and manage office supplies to ensure inventory levels are adequate. Research and create presentations. Prepare and monitor invoices. Develop administrative staff by providing information, educational opportunities, and experiential growth opportunities. Ensure proper operation of equipment by completing preventive maintenance requirements and coordinating repairs. Maintain equipment inventories and evaluate new equipment and techniques. Additional Responsibilities: Manage supplies inventory by monitoring stock levels, anticipating needs, and placing orders. Stay updated on professional knowledge by attending workshops, reviewing publications, and participating in relevant societies. Carry out administrative duties such as filing, typing, copying, binding, scanning, etc. Maintain confidentiality when handling sensitive information. Develop and improve administrative systems for increased efficiency. Receive, sort, and distribute mail. Keep employee records up-to-date. Assist in the recruitment, training, and supervision of volunteers. Provide orientation to new hires. Assist with seasonal/holiday decorations as needed. Maintain a clean and organized office environment. Run errands, such as post office visits, bank transactions, and supply store trips. Create, review, or revise forms as required.
