Administrative Assistant JOB DETAILS The Administrative Assistant will provide support to the Oxnard, California office and will report directly to Area Director of Human Resources. The position will be responsible for providing administrative support at various levels including entry level and fairly complex support. These responsibilities will range from receptionist duties to AP/invoicing to Payroll, Fleet Management and Human Resources support. The position will require executing a variety of complex projects, with a high-level of professionalism. ASSIGNMENTS INCLUDE Receptionist: Greet visitors, vendors and employees at the Oxnard Office Manage incoming phone traffic by answering and routing phone calls from a multiple-line phone system. Maintain an inventory of office supplies and place orders as necessary. Support new hire orientations and ensure employees have received accurate info regarding benefits, company policies, workers' compensation, safety etc. as needed. Assist in the coordination of plant/field meetings and training sessions Organize and maintain office files Act as liaison for communication between main office and corporate office Administrative Support: Collaborates with HR Director to organize annual company events; planning event aspects, such as venues, seating, dining and guest lists, entertainment including music and event speakers etc. Managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communication with staff, and organizing vendors and managing take-down. Conduct data entry and prepare reports and other documents as needed. Prepare credit card expense reports for all cardholders timely and accurately. Coordinate travel arrangements to include hotel accommodations, car rentals, airfare and off-site meetings. Supply acquisition and purchasing. Direct employees to appropriate corporate contact regarding payroll and benefit administration and questions when needed. AP/Payroll: Process payroll for field employees Prepares payroll checks for delivery Support process of corrections to any payroll errors. Responsible for Accounts Payable and Invoice Management Fleet Management: Responsible for maintenance of company vehicles; keep records of vehicle registrations and equipment numbers. Schedules maintenance of company vehicles as needed. Process payments for DMV registrations to ensure company vehicles registrations are current. Works with corporate Fleet Management to ensure all company vehicles have current car insurance and accident packets. Other duties as assigned REQUIREMENTS KNOWLEDGE, SKILLS AND ABILITIES Expertise to: Communicate fluently (written, verbal listening, presenting) in English required and Spanish preferred. Proficient use of Ms office and data entry. Willingness to ask questions rather than just follow directions. Demonstrate a sense of urgency and initiative. Flexibility in competently juggling competing priorities and changing expectations. Expertise to handle confidential and sensitive details with a high degree of professionalism. Demonstrate reliability and dependability. Must be available to work overtime and weekends as deemed necessary. High-level of time management expertise. Must demonstrate outstanding judgment and mature business skills with the expertise to establish a strong rapport with senior management. Demonstrated expertise to use sound and accurate judgment and to apply direction from supervisors. Background to resolve non-routine problems independently and/or to seek. Conflict management and negotiation skills. Background in project management, with skills necessary to interpret what is timely delivery needed for the success of a project and to create appropriate schedules. Expertise and willingness to support local administrative departments in cases of planned or unplanned absences. Must demonstrate outstanding stewardship and relationship building and organizational skills. Multi-cultural orientation and working background. Expertise to maintain calm and professional attitude under pressure of shifting priorities in a fast-paced environment. Strong communication expertise including written, verbal, listening and presentation. EDUCATION AND BACKGROUND High-school diploma required. Min 2 yrs' background in office environment with AP, Payroll or Bookkeeping. Clerical support with agricultural background desired. TRAVEL REQUIREMENTS None
