Red Bank Veterinary Hospital first opened their doors in 1986 and has continued to grow in size, reputation, and service to the community ever since. They recently moved into a brand new 100,000 sq. ft. facility and offer General Practice, Multi-specialty, Emergency, and Alternative therapy services. They are looking for a Senior Hospital Manager to act as the right hand to the Hospital Director as their team and services continue to grow. The Senior Hospital Manager is a leader and an integral member of the hospital management team. The Senior Hospital Manager works closely with the Hospital Director to ensure that the daily oversight of the following departments to include, but not limited to Client Services, Call Center, Cubex, Pharmacy, Facilities, Finance, Purchasing/Inventory departments are fulfilled and operate at maximum efficiency while cultivating a supportive and collaborative team environment. Essential Job Functions Hospital Operations: Assists in and actively participates in the daily oversight of the following departments to include, but not limited to, client service, call center, pharmacy, facilities, finance, Cubex, purchasing and inventory departments and teams. Collaborates with managers to strategically plan and schedule staff, ensuring alignment with budgetary constraints. Collaborates with managers to ensure that expenditures are within departmental budgets. Collaborates with hospital leaders to address challenges and ensure that client needs are met at an optimal level, resulting in consistent delivery of high-quality patient care. Collaborates closely with the hospital director to drive continuous advancement of hospital programs, aiming to maximize growth and revenue. Works in collaboration with the Hospital Director to facilitate change management within the hospital and teams. Serves as a valuable resource of information and assistance to all departments within the hospital. Leads and implements client resolutions as a vital member of the quality assurance team. Collaborates in the development and implementation of hospital policies, including monitoring compliance with DEA controlled substance regulations and OSHA standards. Conducts routine quality checks and reviews of client records and invoices. Monitors computer systems and equipment, collaborates with IT to resolve technical issues, and communicates updates to staff. Remains current on all facets and features of Ezyvet and VetRadar (hospital operating system). Evaluates the needs for the departments and recommends appropriate resources to meet those needs (equipment, staffing, etc.). People Management: Collaborates closely with the hospital director to oversee staffing requirements within budget. Engages in the recruitment of new employees and actively contributes to the selection process within the departments overseen. Oversees the completion of employee orientation, training, and actively participates in the performance appraisal process. Provides coaching and mentorship to employees, while actively identifying opportunities for continuous learning and skill development. Assists the Hospital Director in developing and building hospital teams. Encourage and build mutual trust, respect, and cooperation among team members, incorporating the company’s vision, mission, and core values. Cultivates employee motivation and solicits feedback from employees regularly. Mediates conflict and upholds employee morale. Assists with establishing goals for the hospital and staff. Exemplifies and reinforces the highest standard of customer service. Resolves escalated client issues and oversee follow-up communication with clients. Financial Duties: Collaborates with the Hospital Director to oversee all aspects of the hospital payroll process. Participates in financial oversight of revenue and expenses for hospital within budget. Collaborates with Hospital Director in budget planning and strategic planning, encompassing both short-term and long-term goals. Assists with management of Accounts Receivable. Oversees accounts receivable and cash on hand with the objective of reducing account receivable. Contributes to financial planning, benchmarking, monitoring, and the budgeting process to ensure best management of the business and achievement of business goals. Supports team in effectively managing scheduling to optimize labor costs within budget constraints. Supports the inventory manager in maintaining hospital inventory controls and ensuring costs are within budget. Approves necessary invoices and expenses for processing. Ensures accurate completion, submission and accuracy of payroll and provides support to the manager in their absence. Performs other essential duties as assigned to contribute to the hospital’s overall performance. Leadership and Planning: Acts as a change champion, actively identifying, documenting, sharing, and promoting best practices within the hospital. May be required to work varying hours to meet and observe hospital team and operations since the hospital is open 24 hours per week, 7 days a week. Communicates regularly with HD, providing updated on departmental performance, initiatives, and challenges. Develops and implements short-term and long-term strategic plans to drive hospital growth and sustainability. Continuously assess and optimize department structures, processes, and workflows to enhance efficiency and effectiveness. Drives decision-making processes by providing data-driven insights and recommendations to HD. Assists with special events as needed. Qualifications A bachelor’s degree or equivalent work experience is required. 2 or more years with direct experience leading, managing, and mentoring individuals and large teams. 2 or more years with Direct experience with PL management. Providing oversight of labor and expenses. Veterinary experience is preferred. Highly proficient technology and computer skills and the ability to read, interpret and analyze complex performance metrics and use data to drive decision-making. Ability to prioritize time with flexibility based on the needs of the hospital. Maybe required to work varying hours to meet and observe hospital team and operations since the hospital is open 24 hours per day, 7 days a week. 24/7 on call requirement. Skills: Confident, articulate, concise, and professional speaking skills and the ability to communicate effectively across a variety of channels (in person, phone, email, virtual meeting, etc.). Exemplary skills in customer service best practices. Proficient in general management skills encompassing reporting and data analysis expertise. Demonstrated proficiency in problem solving and conflict resolution. Refined communication abilities in both verbal and written forms. Intermediate computer skills (Microsoft office, email and Ezyvet). Skilled in delegating responsibilities and achieving results collaboratively with hospital team members. Required to effectively multitask and maintain flexibility in handling assigned duties. Proficient in championing change and driving innovation programs within the hospital, particularly those initiatives initiated by Ethos and HD. Capable of making quality decisions. Proficient in coaching, correcting development, and motivating employees. Exhibits professional and courteous demeanor when interacting with both staff and clients. Ability to collaborate effectively in a team-oriented environment. Demonstrates discretion by abstaining from participating in gossip and maintain strict confidentiality. Supports team members by assisting in various areas and remains open to feedback and suggestions. Professional agility to adapt quickly to a dynamic work environment with shifting priorities.
