WANTED: An enthusiastic Global Events Coordinator who can implement effective solutions to create spectacular experiences for our local and international clients! The ideal Global Events Coordinator will be a self-starter, with the ability to work well under pressure, work independently with limited supervision and have solid problem-solving, judgment and decision-making skills. Are you ready to join the team? Summary: The Global Events Coordinator plans and assists other event team members in the organization of event logistics for assigned clients. This position works closely with the Events team and other Virtual staff to ensure the successful implementation of assigned client event services. Preference for local candidates to work out of our Wakefield, MA office 3 days/week (Tuesday & Thursday anchor days, 1 floating day). Here's what you'll do: Build and manage the configuration of online registration systems/sites; create registration reports and provide to client on a regular basis. Manage event email alias on a daily basis serving as the first line of customer service; problem solve challenges and escalate issues as necessary. Manage all speakers for the meeting or conference, serving as main point of contact, collecting deliverables, cross checking speaker registrations, hotel reservations, etc. and ultimately ensuring a positive and smooth process for speakers. Meet with clients and organizing committees to plan scope and format of events and to review administrative procedures and event progress. Configure Mobile App with all event details and manage updates, onsite notifications and daily maintenance. Create and maintain stakeholder hotel rooming list, serve as main point of contact for hotels and master room blocks Support and implement logistics of meetings, conferences, events, trade shows and training courses, including: venue selection, food and beverage planning, A/V planning, room blocks, registration, mobile app, vendor liaison, sponsorship and coordination of marketing materials and communications. Draft timelines, budgets, CMPs, sponsorship prospectuses, tracking documents, and other event- related communications. Responsible for working with vendors to order catering, audio/visual, signage, promotional items, entertainment, photography, travel, hotel accommodations, to ensure high quality events that are cost efficient and remain within the set budget. Webinar and online event management, including technical aspects such as audio and video quality, managing Q&A, and ensuring smooth transitions between speakers and presentations . Liaise with event sponsors to ensure benefits are properly received and executed. Schedule and attend both internal and external event-specific conference calls and meetings, records notes and action items, etc. as applicable. Assist with development of event related marketing materials and conference web sites. Travel onsite to events as needed . Create weekly status reports and post conference survey for clients and internal teams. Conduct inventory of materials and purchase needed event supplies and shipments to events. Setup and manage onsite event volunteers. Provide administrative support to the Events team; manage other projects as needed. As our next Global Events Coordinator, you will bring: Bachelor's degree with a concentration in hospitality management preferred; prior internships in events/hospitality industry preferred; 1 year direct experience in events/hospitality industry required ; Must be detail-oriented, with effective organizational and project management skills, including the ability to manage multiple projects/tasks and deadlines simultaneously in a fast-paced, deadline-driven environment; Must be a self-starter, with the ability to work well under pressure, work independently with limited supervision and have solid problem-solving, judgment and decision-making skills; Excellent customer-service and interpersonal skills; Solid writing and editing skills; High level of creativity and "rolled up sleeves" working style; Flexibility to work independently and as a team player with other departments; Must be willing and able to travel domestically and internationally as needed up to 25%; Must be able to meet applicable travel and/or client requirements Proficiency with Microsoft Suite programs; Ability to learn new technology platforms and tools quickly, such as Cvent, Wrike, etc. as needed. The target hiring range for this role is $45,000 - $50,000 USD (annually). The starting base salary will be determined based on skills, experience, location, and other job-related factors.
