JOB OPENING CITY OF FARMINGTON POSTING #69: FACILITY MANAGER NUMBER OF VACANCIES: 1 DEPARTMENT: Parks, Recreation & Cultural Affairs WORK LOCATION: Civic Center HIRING RANGE: $45,549.2871 to $70,906.9998/Salary PAY CLASS: K - Exempt DAYS WORKED: Varied HOURS WORKED: Varied APPLICATIONS WILL BE RECEIVED UNTIL: Until Filled JOB DUTIES The Facilities Manager is one of four key leadership positions needed to support the operations of the Civic Center division which includes the Farmington Civic Center, the Totah Theater, and the Lions Wilderness Park's Sandstone Amphitheatre and dining area facilities. The Facilities Manager works alongside the programming and theatre team consisting of the Artistic Director, Production Manager, and Technical Director who are responsible for booking and producing the performances and programming that take place within the three facilities. This is a managerial position that oversees the administrative functions, operations, maintenance, and budget for the rental side of the business within the three facilities. ESSENTIAL DUTIES Work under the supervision of the Assistant Director of Cultural Affairs. Plans for and executes the successful completion of all scheduled non-theatre events at the three division facilities utilizing staff and equipment resources for the exhibition and meeting spaces. Coordinates with the Technical Director on rentals and events using the theatre spaces. Responsible for developing, implementing, and distributing information on rental policy and procedures ensuring customers have an exceptional experience at our facilities. Handles complaints and customer service issues in a fair, professional, and courteous manner. Interactions with the public occur on a regular basis and must be a welcoming and optimistic experience, even in difficult situations. Hires, trains, supervises, and evaluates the performance of the Facility Technician Supervisors, Facilities Technicians, Temporary/Seasonal Facilities Technicians, and Administrative Aides. Facilities Technicians: Skilled and semi-skilled workers engaged in setup, operation, and tear down of event-related equipment, maintenance, and custodial services for the non-theatre portions of the three facilities. Operate the non-theatre audio visual (AV) systems for customers in exhibit and meeting spaces. Administrative Aides: Complete front office duties including negotiating and facilitating the execution of all rental contracts for the three facilities using EventPro booking software and inventory management. Prepares the purchasing and processing of division supplies, purchase requisitions, Field Purchase Orders (FPO), purchasing or P-card transactions, invoices, and travel requests. Collects rental fees. Assists with box office ticket sales and theatre program registrations as needed in coordination with the Production Manager. All transactions must be done in accordance with the City of Farmington cash handling procedures. Responsible for scheduling and coordination of the Facilities Technician crews in order to execute rental contracts for both internal and external customers in any of the three facilities, sometimes in coordination with the Production Manager and Technical Director. Facilitates the opening and closing, locking and unlocking of facilities as needed. Monitors the safety and cleanliness of interior and exterior areas such as office, exhibit halls, parking lots, and all outdoor recreational spaces. Assists with the development and manages the budget for the assigned labor, maintenance, equipment, and supplies for the operation of the facilities. Responsible for maintaining record keeping, financial expenses, and revenue related to facility rentals. Researches, purchases, and coordinates adequate inventory of all non-theatre equipment and services for the facilities. Manages the upkeep of AV (non-theatre) and physical equipment and supplies to meet health, safety standards and ensure compliance with all safety protocols. Maintains equipment specifications and manuals, along with safety data sheets. Develops and maintains necessary records and reports such as equipment and supply inventories, and accident and damage reports. Responsible for the bi-weekly processing of all Civic Center staff time and hours. Uses computer-based software to coordinate rentals, inventory, and ticket sales. Effectively prioritizes time to execute multiple projects and tasks simultaneously. Using excellent customer service skills, establishes and maintains effective working relationships with Civic Center employees, other City employees, officials, customers, and the general public. Performs a variety of administrative, technical, and professional work in providing information, assistance, and/or reports to the public, City departments, State, and Federal agencies. Operates a motor vehicle to assist in carrying out the business of the division and the City. Attendance at work is an essential function of this position. NON-ESSENTIAL DUTIES Serves as a member of various employee committees and participates in departmental activities, as assigned. QUALIFICATIONS This position is subject to the Drug and Alcohol-Free Workplace program. This includes: pre-employment testing, post-accident testing, reasonable suspicion testing, return to duty testing and follow-up testing. Valid driver's license with acceptable driving record for past three years. High school diploma or GED equivalent; and five (5) years of progressively responsible experience in supporting or managing facility rentals, facility maintenance, and customer service. Working knowledge of the principles and practices of management, work organization and supervision including budgeting principles, revenue, expenditures, and cost analysis for division operations. Leadership and motivational skills, time management skills, the ability to prioritize and execute simultaneous tasks. Ability to deal with all types of emergencies that may arise within the facilities. Ability to supervise employees and coordinate crews. Ability to work under stressful situations with members of the public, outside vendors, and other City employees. Skilled in operation of personal computer utilizing both spreadsheet and data base software. Ability to interact with computer-based rental and ticketing software. Working knowledge of liquor laws, supervising a commercial kitchen, and catering requirements involved in facility rentals and operations. Comprehensive knowledge of building maintenance including housekeeping and janitorial procedures and ability to operate the related equipment. Possess professional level communication skills both verbal and written. Ability to cover Facilities Technician and Administrative Aide duties as scheduling demands. Ability to communicate technical information, make quick decisions, and solve problems. Available to perform shift work in a rotation of days, evenings, and nights including weekends and holidays if need arises. Ability to follow verbal and written instructions. Ability to meet deadlines. TOOLS AND EQUIPMENT USED Audio Visual (AV) equipment including programmable room lighting, video and electronic projection, and basic sound equipment. Janitorial equipment including vacuums, mops, brooms, dusting equipment, floor machines, burnishers and various hand and power tools including hammers, and power saws and drills. Basic office equipment including telephone, mobile radio, and personal computer.
