POSITION SPECIFICATION ASSISTANT PROPERTY MANAGER – Innovation & Design Building Shine Associates, LLC has been retained to search, identify, and recruit an Assistant Property Manager (APM) for the Innovation & Design Building (IDB) on behalf of our client (‘Company’). The position will be based in the Seaport District of Boston, MA. CONFIDENTIALITY Shine Associates, LLC has been exclusively retained on this assignment. POSITION Our client is seeking an Assistant Property Manager for The Innovation and Design Building - a 1.35 million square foot mixed-use complex located in the Innovation District in Boston’s Seaport neighborhood. The eight-story structure was constructed in 1918 and originally served as a waterside storehouse for the South Boston Army Base. Today, the IDB’s light-filled floors are home to a diverse mix of companies including Reebok's global headquarters, as well as innovative entrepreneurs, including architects and engineers, skilled makers and craftspeople, research and development firms, and technology startups. The complex is also home to the Boston Design Center—New England’s premier resource for design professionals—with showrooms featuring over 1,200 luxury product lines of fabric, furniture, lighting, antiques, fine art, wall and floor coverings, kitchen and bath components, and contract services. The APM will report to the Senior Property Manager and support the property team at this 1.35m SF mixed-use project. The role of the APM is to help bring the team to peak performance, learn, and thrive in the methods and tactics, to push further to achieve property, individual and team goals, and to play an “on the ground” role in the delivery of superior management services. Due to the redevelopment, repositioning, and diverse make-up of space and use in the IDB, candidates with experience during ongoing construction, and/or with lab space, and/or with some retail, will be viewed positively. Due to the responsibilities of this role, the demands of the job may require work outside normal business hours. REQUIREMENTS A bachelor’s degree in business administration, Real Estate, or a related field. Excellent organizational and multitasking skills. Excellent communication and interpersonal skills. At least 1-3 years’ experience involved with the property management of Class A office, retail, or mixed-use properties. Familiarity with Microsoft Office Outlook, Word, and Excel. Ability to handle stressful situations and multiple properties at a time. Understanding of financial objectives including helping to prepare annual operating and capital budgets, collecting rents, paying bills, forecasting, analyzing variances, and initiating corrective action. KEY QUALIFICATIONS Must be organized, efficient, and have the ability to prioritize. Superb oral and written communication skills. Excellent follow-up and outstanding interpersonal skills. Demonstrated ability as strong team member. KEY RESPONSIBILITIES Liaison with tenants, landlords, and contractors. Ensure compliance of lease terms and conditions. Maintain insurance compliance for tenants and vendors, contacts lists Assist with the creation of annual financial budgets and ensuring all property-related expenses are managed within the pre-set budget. Assist with financial transactions, including rent collection, bill payment, and operating escalations. Assist with assembling monthly reports to property owners on the financial status and property conditions. Review property maintenance and repair requests. Conduct regular property inspections. Responding to emergencies on properties 24/7. Assist with promotional activities and marketing strategies for the properties. Manage insurance claims and incident reports. Vendor service contract management. Ensure contractors follow building rules. COMPENSATION & BENEFITS Compensation will include a competitive base salary and bonus and an attractive benefits package.
