The Senior Director of Intake Services will report to the Chief Financial Officer and operates with broad authority to lead the intake function, including referrals from Traditions digital marketing, while held accountable for key performance metrics. The individual is expected to lead the intake functions while always maintaining the perspective of an organization-wide leader. The Senior Director of Intake Services will be responsible for strategic leadership and direction for developing, managing, and maintaining the overall operations of Traditions Health intake process. Provides leadership to align and improve referral and intake procedures, scheduling processes, and the process of supporting clients, families, and referral sources. This position is also responsible for leading the team that cultivates and manages referrals that come through Traditions digital marketing efforts. Transformational in approach while driving a focus on performance improvement. * Proven ability to influence business partners, lead change, and work collaboratively with all levels in the organization to accomplish goals. * Understands the role of digital marketing in organic growth. * Skilled in time management with a proven ability to meet deadlines. * Strong analytical and problem-solving skills. * Ability to function well in a high-paced and at times stressful environment. * Proficient with Microsoft Office Suite or related software. * Highly organized with the capacity to manage work and priorities autonomously.Transportation: Reliable transportation with valid and current auto insurance.Environmental and Working Conditions: Works in a routine office environment or home office. Noise level may be moderately high, ability to work a flexible schedule and extended hours. Ability to travel and some exposure to inclement weather. Possible exposure to toxic materials including toner, etc.Physical and Mental Effort: Must be able to work under stressful conditions and time constraints of the agency or projects. Work requires sitting for long periods of time, bending, and stretching for files and office supplies. May occasionally require lifting files or paper weighing up to 30 pounds. Essential Functions: * Monitors and analyzes functional operations and key performance indicators such as conversion rates and time to admit, scheduling delays, authorization status, and intake coordinator productivity to ensure optimal intake performance. * Manages a department of 50+ FTEs. * Identify, develop, and drive process improvements, including the creation of standard and ad-hoc reports, tools, and excel dashboards to identify opportunities or problems, process improvements, and other system changes. * Manages the Business Development Representatives that cultivate income leads through Traditions digital marketing efforts. * Works with Traditions operations leadership, referral sources, managed care and key stakeholders to lead the enterprise in the identification and resolution of intake practices. * Provides leadership and direction for intake initiatives by initiating collaborative processes to implement comprehensive and compliant intake procedures that meet federal, state, local and payor specific requirements. * Connect the data across all intake areas to understand the story and drive results through the data. * Partners closely with Managed Care leadership to ensure alignment on payor strategy and financial/operational impacts. * Recruits, develops, motivates, manages, and retains a high-performing intake infrastructure. Makes adequate training programs available to support staff performance. Ensures compliance to organizational and departmental policies and procedures. * Analyzes the impact of regulatory changes on internal processes and policies, identifies company-wide impact of such changes, and modifies policies and procedures to adapt to them. * Develops, validates, and presents the Month End financial reports to Accounting and Senior Leadership. * Increase productivity by developing automated reporting/forecasting tools and streamlining activities. * Set an example in delivering excellence with reports, presentations, and other supporting materials to inform and make recommendations appropriately at all levels. * Lead meetings with intake vendors and staff to address gaps in processes, issues impacting finances, and course correction. * Provides needed support for payor and governmental audits. * Perform other related duties as assigned, including but not limited to the above.Equal Employment Opportunity:Traditions Health is an equal opportunity employer that is committed to diversity and inclusion in the workplace.
