Requisition No:825600 Agency: Department of Health Working Title: OPS STAFF ASSISTANT Pay Plan: Temp Position Number: Salary: 17.00 PER HOUR Posting Closing Date: 04/09/2024 Total Compensation EstimatorTool Pending Reclassification Open Competitive Your Specific Responsibilities: This position provides operational support for the FDOH:SJC Administration area but also assists throughout the agency as needed. This position works independently but must also work with coworkers to accomplish deliverables as a team. This position encourages coordination and communication between all areas of FDOH:SJC. Assists the Operations and Management Consultant I, Health Officer, and Assistant Director with all aspects of daily functions and special projects that require administrative support. Serves as the frontline staff to greet visitors into FDOH:SJC and Administration Department receptionist. These duties include but are not limited to assisting visitors and answering and handling phone calls to provide excellent customer service. Completes data entry on the local dashboard daily and runs reports as requested. Completes proper procedures for package and mail receipt as well as distribution throughout FDOH:SJC.Prepares outgoing mail.Prepares check/cash mail for FDOH:SJC while ensuring accountability and proper distribution. Completes and processes invoices per proper procedures. Assists with preparation of documents for reports and grant deliverables as requested and maintains an effective, up:to:date record retention/filing system for Administration. Performs support functions for other FDOH:SJC departments which includes but is not limited to, working with clients and vendors, answering telephones, processing mail, and providing support for projects and deliverables in that department. Coordinates and participates in meetings and trainings as requested. Provides excellent customer service on the telephone and in person. Assists the Finance and Accounting Department with administrative support tasks. Performs other duties as assigned. Required Knowledge, Skills, and Abilities: Ability to conduct effective time management, to work independently, and to handle multiple tasks while prioritizing those tasks. Skill in meeting deadlines, organizing, using equipment such as, computers, copiers, and scanners, and working with Microsoft applications. Knowledge of the principles and techniques of effective communication. Qualifications: MINIMUM QUALIFICATIONS High school diploma or its equivalent and two years of secretarial or work experience.
