Summary: Reporting to the Head of Customer Services, you will be an effective Customer Service Administrator providing an efficient contribution to the Customer Service Team. Primary responsibilities will include receiving inquiries, quotation processing, order processing, dispatch coordination, and Export and Quality compliance. Customer First Initiatives: Contribute to the delivery of Customer Service initiatives to ensure on time completion. Order Management Activities: Ensure adherence to, and completion of, agreed daily / weekly tasks and activities within the Customer Service role. Auditing: Ensuring that the department remains in a state of audit readiness for internal & external auditors. Review all sales orders for correct pricing, configuration, description, shipping and billing information and instructions and provide timely responses and updates to customers regarding availability, shipping, and order status. Input and process sales orders promptly to ensure timely and accurate delivery performance to customers. Coordinate and process quotations to ensure timely inquiry response. Enter and maintain customer master data records. Coordinate with other departments to ensure on time deliveries. Coordinate with the sales team to support ongoing customer development, growth activities, and forecasting. Support development of business processes to drive best practices within the Customer Service Team. Complete and maintain records in line with audit and quality requirements. Engage with personal growth and development initiatives to support team development. Assist in the quality activities to assure customers receive products that meet their specified product specifications. Develop and maintain all Customer Service quality procedures in accordance with various Quality Standards. Education and Qualifications: High School degree required. Associates Degree in Business or relevant subject or proven experience in a similar role is desired. Experience working in a customer facing Sales Administration department. Excellent interpersonal skills in a team environment Ability to multi-task Experience using computer software such as MS Office; Word, Excel, Outlook and PowerPoint Working knowledge of SAP or similar ERP system is desired Experience with Salesforce or similar CRM system is desired Experience in the metals and manufacturing industries is desired Self-motivated individual with ability to use own initiative, prioritize tasks and work well under pressure. High level of attention to detail and accuracy Professional approach to work and when dealing with internal and external customers. Team player who demonstrates a high level of commitment, adopts a flexible and positive approach. Must have the ability to work unsupervised with good time management skills in order to meet tight deadlines, in a fast paced, pressurized and challenging environment.
