Office Administrator - Nevada City, CA (in office, 20 hours per week) Position Summary: Telestream is currently seeking a professional, energetic and self-motivated Office Administrator in our Nevada City, CA office location. This individual will be dedicated to supporting our senior managers, coordinating on site events and activities, and routine clerical and organizational tasks. This position provides the first point of contact and essential communication link between the Company and the outside world. Responsibilities and Duties: Provides administrative and logistical support to senior staff members Responsible for calendar management, requiring interaction with internal employees, senior management, to coordinate a variety of executive meetings Arrange and manage all domestic and international travel; Coordinate airline flights, hotel rooms and rental car preferences, merging the details into seamless itinerary Prepare business and personal correspondence, contact information and expense reports Handles confidential material and information with high discretion and professionalism Works with internal/external contacts for venue requirements and selection, room set-up, catering, and materials delivery Welcoming visitors, arranging company dinners and other corporate functions Arrange meetings, teleconferences, online presentation services and events Respond to inquiries and emails and compose correspondence, memos, and reports, as directed Maintains office files as required Perform administrative tasks related to business contracts files and intellectual property portfolio Complete projects and special assignments, as directed Qualifications and Skills: Minimum of 3 plus years of administrative office experience supporting senior staff members Excellent multi-tasking and planning skills with a strong ability to prioritize Strong writing, editing, and presentation skills Advanced proficiency with all of the Microsoft Office Products (Word, PowerPoint, Excel, Outlook) Superior communication and organizational skills Experience in logistics/travel and/or event planning Experience in coordinating meetings International experience would be a plus.
