POSITION OVERVIEW: The Accounts Receivable Clerk will oversee the collection of money due to the hotel. This position requires the candidate to ensure that invoices and payments are processed in a timely manner in accordance with the Company's SOPs, GAAP, and all federal, state, and local laws and regulations. The Accounts Receivable Clerk will also work to resolve billing inquiries and disputes while maintaining positive relationships with colleagues, sales clients, and guests. The ARC ensures smooth operation by reconciling, researching, and resolving discrepancies between systems. Other jobs and duties as assigned. This industry functions seven (7) days a week, twenty-four (24) hours a day. Regular attendance in accordance with company standards is essential for success in this position. EDUCATION & EXPERIENCE: High school graduate or General Education Degree (GED) or work equivalent. Computer skills required. Familiarity with Microsoft Office is essential. Experience with hotel systems is preferred. Experience in the hotel industry, especially in the front office or accounting departments, is preferred. QUALIFICATIONS: Good understanding of the English language. Good communication skills, both written and verbal. Strong attention to detail and commitment to high-quality work. Requires ability to investigate and analyze information in a specialized field involving readily available data and indicating logical conclusions and recommendations. PHYSICAL REQUIREMENTS: Exert physical effort in lifting/transporting at least 25 pounds. Push/pull carts and other equipment up to 100 pounds. Endure various physical movements throughout the work areas. Work environment - administrative offices, and all areas of the hotel. Job involves working under variable temperature conditions and noise levels in an indoor setting. Prolonged periods of sitting at a desk and working on a computer. JOB RESPONSIBILITIES: Review night audit reports to ensure accuracy. Prepare timely and accurate billing of groups and events. Maintain current knowledge of all hotel systems in which relevant data is housed. Balance account ledgers on a weekly and monthly basis. Maintain required documentation relating to all transactions posted. Maintain positive working relations between accounting and all other hotel associates/managers. Ensures timely and proper billing of all receivables. Documents follow up, collection efforts, and payments received. Research and respond to chargeback inquiries. Ensure compliance with all applicable internal controls. Independently research and resolve discrepancies and issues. Attend meetings with sales clients as their point of contact for billing. Hold weekly credit meetings. Review and approve Central Travel Agency Commissions (CTAC) batches daily. Be in proper business attire, with nametag. Ensure department confidentiality. Always maintain guest confidentiality. Maintain knowledge of hotel features and services, hours of operation, groups and events hosted, etc. Work with front office to handle escalated guest billing issues, ensuring guest satisfaction. Know and abide by all department, hotel, and Company policies and procedures, as well as brand standards, policies, and procedures.
